Key Responsibilities Customer Service
- Ensure a superior level of co-operation, service and support is provided to residents, thereby ensuring that Hazelview is a landlord of choice
- Maintain good resident-landlord relations
Office Administration
- Basic office coordination including ordering office supplies and organizing and maintaining filing system of rental board cases.
- Manage email inbox for administration requests from site team members.
- Process all adjustments to ledgers and Yardi records requested by site team members.
- Enforce compliance of lease agreements; Process all move-in and move-out
- Validate and process lease assignments sent by site team members.
- Update Yardi with responses to renewals.
- Prepare and process purchase orders.
- Ensure Leasing commissions file is updated by required date.
- Provide training to new Team Members on systems and Hazelview processes and procedures
Collections
- Prepare and file requests for hearings with the rental board
- Participates in and represents Hazelview at the rental board (LTB) hearings.
- Make collection calls, including occasionally/as needed outside of normal business hours.
- Analyse past resident files and send to collection agency as required.
- Prepare formal notices prior to opening files at the rental board if need be.
- Follow-up on all court orders, mediation agreements and bailiff requests.
- Handle requests from our lawyers.
- Manage and process legal mail and emails received in department inboxes.
- Analyse judgements rendered and received.
- Handle the billing of our legal suppliers.
- Submit requests to LTB, assembling documentation for hearings and represent at the hearings.
- Maintain records of tenants' financial debt and status of collection efforts.
Leadership & Management
- Provide training to new Team Members on systems and Hazelview processes and procedures
Job Requirements Education and Experience:
- Degree/diploma and/or an equivalent combination of education and/or experience
- 2-3 years of administrative experience, preferable in a busy office
- Strong computer skills including Microsoft Office (Excel, Word, Outlook) Experience with Yardi would be an asset
- Experience in a customer service role would be an asset
- Exposure to the Property Management Industry would an asset
Qualifications
- Excellent communication is required. Ability to speak other languages is considered an asset

- Ability to speak other languages is considered an asset
