Job Title: Payroll/Financial Coordinator
Reports To: Financial Manager
Salary: $28.00-$30.00/hour
POSITION OBJECTIVE:
The Payroll/Financial Coordinator directly supports the finance team, administrators, and managers of other departments in financial and payroll processing purposes. The Financial Coordinator performs work as required by the Financial Manager and functions as an effective member of an interdisciplinary team.
QUALIFICATIONS & REQUIREMENTS:
- Excellent interpersonal and communication skills
- Ability to work well independently
- Proactivity and willingness to solve problems
- Office administration and/or bookkeeping experience required
- Strong accuracy and attention to detail
- Strong organizational and time management skills
- Experience working alongside senior management in business environment
- Strong computer skills including microsoft suite
- Excellent customer service and professionalism when communicating with staff and external contacts
- Valid Driver’s License
- Experience with Xero, RBC PayEdge, and cloud-based payroll systems (considered an asset)
- Post-secondary education in business administration or accounting at the university or college level (considered an asset)
KEY RESPONSIBILITIES & ACCOUNTABILITIES:
Duties include assisting all departments in various tasks that include, but are not limited to:
- Management of all matters related to payroll and payroll related administrative duties and reporting
- Overseeing and resolving issues with ADP Payroll system
- Communication with Shifts Coordinator to rectify payroll and timecard errors
- Supervising continuous training for backup staff for payroll processing and ADP system maintenance coverage, including keeping backup staff up to date about changes in payroll related systems and processes
- Maintaining payroll and ADP manuals in Google Drive and
- Submitting suggestions and changes to payroll policies in PolicyManager
- Recording staff loans, coordinating and tracking loan repayments in ADP and Google Drive Sheet
- Applying and tracking annual wage raises in ADP and Google Drive sheet in accordance to company policies
- Accounts Payable (contractors, suppliers, vendors, specific projects, etc.) processing
- Coordinating all accounts receivable related tasks for on-site daycare and summercamp, when requested
- communicating with daycare manager in regard to enrollment in daycare programs,
- creating and sending monthly invoices,
- applying Fee Reduction and Affordable Child Care Benefit (ACCB) amounts to invoices,
- following up on payments,
- sending reminders for ACCB expiries to parents,
- replying to all billing-related inquiries.
- Monthly ECE Wage Enhancement Report Submission for daycare employees, when requested
- Submitting monthly reports for government funding for on-site daycare (ACCB), when requested
- Overseeing monthly reconciliations of company credit cards
- Purchase order & Expense tracking (including utilities and Vehicle expenses)
- Coordinating receipts and payments for employees’ fitness credits
- Year-end bookkeeping support
- Support documentation and record management
- Create, maintain, and enter information into databases and accounting software
- Maintain a current and accurate filing system
- Quarterly WorkSafe BC reports
- Supporting the Finance Department through other directed administrative tasks such as assisting from time to time with A/R, closing of client files, tracking specific projects, etc.
- Data entry, auditing, and maintenance of staff files (paper, ADP, and spreadsheet) (1-2 hours/week)
- Calculated and accrued quarterly taxable benefits related to staff loans
KEY PERFORMANCE OBJECTIVES
- Output: All systems are running smoothly within SCHC/GSWC payroll and financial operations
Key Indicator: Payroll files, accounts payable files, and daycare billing files are up to date and copies are maintained in internal network, Google Drive filing systems, and Xero accounting software, as well as in physical filing system. (daycare billing when requested)
- Output: Professional, clear, and timely communication in response to A/P and A/R inquiries, and inquiries from staff or government institutions regarding payroll.
Key Indicator: Problem-solving and solution-oriented handling of issues and conflicts.
- Output: Maintains confidentiality of both staff and clients.
Key Indicator: Confidentiality is maintained at all times both at work and in the community; physical and digital records are kept securely locked from unauthorized staff and the public.
