About the role
This position is 100% in-office.
The Mail Clerk is responsible for sorting and distributing incoming/outgoing mail, and operating the mailing machine, folder and inserter. The Mail Clerk is responsible for sending, accepting and recording the movement of office supplies, materials, equipment and stock to and from the office. The incumbent is also expected to ensure the prompt and secure shipment of goods including cheques and to inspect incoming and outgoing packages for completeness and damage.
Key Responsibilities:
- Operate the mailing machine, folder and inserter.
- Prepare all shipping documents, including bills of lading and manifests in accordance with generally accepted procedures
- Correspond with couriers, including shipment set-ups, delivery instructions and estimated delivery expectations.
- Send faxes for all units and date stamp and distribute incoming faxes to appropriate units for handling.
- Maintain proper levels of stock, including courier-specific shipping materials, postage, packing tape and other office supplies.
- Record shipping costs and report them to the manager in order to maintain proper amounts of postage.
- Inspect and verify incoming goods against packing slips or other documents.
- Other duties as may be assigned from time to time by Management
Key Contacts/Relationships External and Internal:
- Reports directly and receives direction from Administration Supervisor.
- Communicates with and answers enquires from Wilson employees, Team Leads and Manager of Operations.
- Compliant with government regulation pertaining to the Privacy Act (PPEIDA).
- Cooperates with Head Office Mail Room staff.
- Communicates with and answers enquires from Wilson employees, Team Leads and Manager of Operations.
- Compliant with government regulation pertaining to the Privacy Act (PPEIDA).
- Cooperates with Head Office Mail Room staff.
Knowledge, Skills and Abilities:
- Knowledge of proper shipping techniques and procedures.
- Knowledge of general office equipment, database software and inventory control software.
- Knowledge of Privacy Act (PPEIDA);
- Demonstrated ability to multi-task and perform in potentially stressful situations.
- Accuracy and attention to detail.
