We are seeking a detail-oriented and organized Charter Clerk / Dispatch to support our transportation team with booking and coordinating charter bus services for school trips, extracurricular activities, and special events. This is a part-time position focused on providing high-quality service, efficient scheduling, and timely communication with clients and drivers. This role also includes assisting with afternoon dispatch operations, making it ideal for someone with strong multitasking and customer service skills, particularly in a transportation or school bus setting. This position is a part-time position at 20 hours per week.
Key Responsibilities
- Charter Booking & Scheduling: Coordinate and schedule buses for school and extracurricular trips, including taking client requests and arranging routes.
- Client Communication: Serve as a point of contact for schools, parents, and organizations regarding charter services.
- Paperwork & Documentation: Manage invoices, contracts, and other administrative documents related to charter bookings.
- Route Planning: Work with dispatchers and drivers to create efficient, safe travel routes.
- Customer Quoting & Pricing: Assist in providing quotes and pricing details to clients.
- Recordkeeping & Data Entry: Maintain accurate logs of bookings and service data.
- Dispatch Assistance (PM): Support afternoon dispatch operations, including radio communication with drivers, route coordination, and assigning work to drivers.
- Client Relations: Build and maintain strong relationships with schools and other partners to increase charter service usage.
Qualifications & Skills
- High School Diploma or equivalent required
- Minimum of 2+ years' experience in a related administrative, transportation, or dispatch role
- Experience in the school bus or transportation industry strongly preferred
- Strong communication and customer service skills
- Familiarity with radio dispatch systems and procedures
- Proficient computer skills (MS Office, dispatch software, or similar platforms)
- Ability to work effectively under pressure and meet deadlines
- Prior experience in terminal operations, dispatch, or driver coordination a plus
Physical Requirements & Working Conditions
- Must be able to move about the office and utilize standard office equipment
- May need to access filing systems and communicate clearly by phone or in person
- Minimal to no travel required
