About the role

We are a leading real estate developer with 170 sales scheduled to close between summer and fall 2025. Our team is committed to delivering exceptional customer service and high-quality projects.

We are seeking a Adm and Purchases Support to join our team.

Position Overview:
The Adm and Purchases Support will support our sales closing process and assist with project-related administrative tasks. This includes accounts payable support, file management, purchaser communication, walkthrough coordination, purchasing tracking, follow-ups, data analysis, and general administrative duties, including the preparation and management of purchase orders (POs). The position requires strong skills in Excel, Adobe editing tools, and Microsoft Word.

Key Responsibilities:

  • Sales Closing Support:
  • Manage and organize closing files to ensure accuracy and completion.
  • Communicate with purchasers, providing updates and addressing inquiries.
  • Schedule and attend walkthroughs to facilitate a smooth customer experience.
  • PO preparation and records maintenance
  • Track and monitor purchasing activities, including follow-ups with vendors and suppliers.
  • Prepare and manage purchase orders (POs) and ensure proper documentation.
  • Conduct data analysis and prepare reports to support project decision-making.
  • Maintain organized records and ensure timely updates for project documentation.
  • Provide general administrative support to the accounting team.

Qualifications:

  • Strong customer service skills with a professional and approachable demeanor.
  • Advanced proficiency in Microsoft Excel is required.
  • Experience in the real estate industry is an asset.
  • Experience in project coordination or accounting is an asset.
  • Detail-oriented with excellent organizational and analytical skills.
  • Strong communication skills, both written and verbal.
  • Ability to work collaboratively in a fast-paced environment.
