Position Summary

Reporting to the Supervisor, Recreation, this part-time position is responsible for assisting with the delivery and operation of a sport league program. The league convenor is responsible for the supervision and scheduling of timekeepers, scorekeepers and communication with league officials, while also ensuring all league participants and staff experience a safe and enjoyable environment during league games. This role ensures adherence to league rules, fair play and anticipates and reacts to customer concerns.

Major Job Responsibilities

  • Implement the league program with a focus on quality customer experiences:
  • Foster a welcoming, respectful and safe environment for all participants.
  • Create equal and balanced teams for fair play
  • Schedule regular season and playoff games and communicate league schedules and rules to participants, staff and officials
  • Adhere to department entrance procedures and confirm use of services through registration, attendance and waiver tracking
  • Understand and ensure compliance of all established rules and guidelines governing the safety and conduct of participants
  • Oversee Timekeeper and Scoring Official and ensure all duties of their position are being followed.
  • Provide guidance and oversight of volunteers
  • Establish positive relationships and clear communication channels with all staff and participants
  • Maintain a safe and clean facility, including proper usage and storage of equipment. Proactively communicate program needs to facility maintenance staff and communicate any facility or equipment deficiencies with Supervisor, Recreation
  • Evaluate situations for potential risks and proactively take action to address such risks. Communicate any action and/or concerns to Supervisor, Recreation
  • Maintain communication with the Customer Service Desk to provide relevant program updates and to request support in the event of an emergency
  • Maintain a high level of professionalism and handle sensitive situations with mature judgement
  • Provide suggestions to Supervisor, Recreation on ways to enhance the customer experience
  • Comply with all health and safety practices as it relates to the work, standard operating guidelines and the Occupational Health and Safety Act
  • Perform all other duties as assigned in accordance with department objectives
  • Administrative tasks:
  • Ensure that the daily use and storage of equipment is safe and secure for next use
  • Provide regular updates and feedback to immediate supervisor
  • Provide ongoing feedback to Timekeeper and Scoring Official
  • Maintain and submit attendance records and/or stats
  • Maintain and update league statistics and website
  • Report any incidents, concerns or site damage to Supervisor, Recreation
  • Maintain accurate attendance, first aid and league supply records, and other administrative records as required
  • Submit required forms (including payroll)
  • Attend all mandatory staff functions; training; meetings and allocated program times
  • Maintain knowledge of facility programs and services; respond to public inquiries in a professional manner; re-direct inquiries as appropriate

Education & Experience

  • Secondary School Diploma
  • Attending or completion of post-secondary education in Recreation & Leisure or a related field is an asset
  • Experience playing (at an organized level), officiating or coaching basketball
  • Previous supervision of program participants (children, youth or adults) in a recreational environment
  • Strong communication skills required
  • Previous supervision of adult program participants in a recreational environment
  • Previous experience overseeing part-time staff in a recreation setting an asset
  • Experience working with volunteers
  • Standard First Aid & CPR Level “C”
  • Satisfactory Criminal Record Check with Vulnerable Sector Screening
  • Crisis Prevention Intervention or equivalent and certifications/workshops in a related field is preferred
  • Minimum 18 years of age
  • Strong knowledge and aptitude in a specialized sport field
  • Excellent interpersonal and communication skills
  • Effective program planning and service delivery skills
  • Strong problem solving skills with the ability to work well independently and in a team environment
