About the role

Position Overview

The Client Services Representative is responsible for liaising with TCR’s clients. The Client Services Representative is the point of contact for receiving and sending correspondence and assisting clients with any issues and questions that arise. The Client Services Representative interacts with all levels of management at the organization and therefore must maintain a high level of confidentiality and professionalism. Excellent communication and organizational skills are a must along with providing excellent customer service. The Client Services Representative reports to the Chief Information and Security Officer.

Responsibilities

  • As Client Services Representative, this position will be the first point of contact for any communications associated with clients, internal departments and assisting clients with any issues and questions that arise and interact with all levels of management at the organization and therefore must maintain a high level of confidentiality and professionalism.
  • Attending client meetings as required and documenting critical tasks or updates relative to client services and ensuring distribution to relevant parties (internal & external)
  • Reviewing requests from clients, performing tasks as applicable, following up for responses and answering questions as required to obtain completed reports/audit documents in a timely manner from various internal departments & delivering them to respective clients.
  • Managing and monitoring contractual requirements for existing and new clients/vendors related to client services protocols & deliverable.
  • Managing and organizing audits from clients and ensuring timebound delivery of audit responses along with supporting documents to clients.
  • Updating and maintaining the internal procedures and administrative manuals associated with the Client Services team.
  • Submitting letters, emails, and other communication templates to the regulators for approval as needed
  • Responding to internal and external inquiries in accordance with company’s/client’s policies and procedures
  • Ensuring client and TCR directives are followed. Compiling, verifying, and recording information.
  • Updating and maintaining the client services folder including procedural documents on SharePoint.
  • Preparing, updating, and retrieving data for reporting purposes
  • Assists in systematization, management, distribution, and storage of records at the department level.
  • Supporting CI&SO with company’s audit as per ISO 27001/27002 & SOC 2 requirements as assigned in a timely manner.
  • Other duties as assigned.

Requirements

  • Excellent oral and written communication skills with attention to detail
  • Proficient in Microsoft Word, Excel, and Outlook
  • Strong organizational skills with the ability to prioritize a high volume of tasks and competing priorities
  • Ability to exercise sound judgment, discretion, and confidentiality
  • Excellent customer service skills
  • Quick learner with the ability to adapt to changes well
  • Able to work well within a team environment
  • Ability to work well under pressure and function efficiently in a fast-paced, high demand environment

Job Type: Full-time

Pay: $36,000.00-$45,000.00 per year
