About the role
Administrative Associate
The bilingual Administrative Associate will ensure a positive first impression of CBI Home Health for internal (employees, contractors) and external (public, vendors, funders) stakeholders. Effectively listening and asking questions to ensure calls and inquiries can be directed to the appropriate person, the Administrative Assistant ensures excellence in customer service and timely response. The Data Administrative Assistant also provides administrative support to the local Home Health team by executing administrative processes and tasks.
Required Qualifications:
- Diploma or Certificate in Business Administration, Medical Administration, or related field.
- Minimum 1 year of experience in Customer Service or an administrative role
- Bilingualism (fluent in both English and French)
Key Responsibilities:
- Utilize effective and courteous communication skills to answer the phone, greet visitors, respond to questions and collect information to direct inquiries
- Manage emails and general inquiries, and effectively prioritize requests
- Participate in administrative projects, create client/employee files, and maintain staff/client records and filing.
- Maintain operation of photocopier, stocking of supplies, scanning, copying and filing of documents.
- Organize, prepare, mail/email and collect client and employee communications or documents. Open and disperse emails and incoming mail. Manage outgoing mail and couriers.
- Support the organization and preparation of staff meetings, orientations and/or other functions.
- Maintain office staff lists, staff duties lists, bulletin boards, kitchen, general office entrance areas, etc. as applicable
- Monitor and maintain inventory levels of office and PPE supplies, ensuring stock is consistently replenished
- Place timely orders for office and PPE supplies in alignment with organizational needs and budget guidelines
- Manage facilities support tickets from submission to completion, ensuring timely follow-ups and resolution to maintain stakeholder satisfaction

- Excellent communication skills, telephone etiquette & empathy
- Computer (Microsoft Office Suite) and multi-telephone line skills
- Analytical problem-solving skills
- Ability to remain calm and professional in stressful situations
- Detail-orientated, adaptable and organized
- Self-directed with time management skills and ability to prioritize tasks
