We are currently seeking an experienced Legal Executive Assistant to support the Managing Partner. This position may be based out of either our Head Office or Downtown Toronto office , depending on the successful candidate’s preference. The ideal candidate will have at least three years of experience in a legal or professional services environment and be comfortable managing schedules, coordinating meetings and travel, and overseeing day-to-day practice administration with professionalism and discretion.
Responsibilities:
- Support the Managing Partner with day-to-day administrative needs, including calendar management, meeting scheduling, and coordinating travel and logistics.
- Manage administrative functions related to legal practice, including file opening and closure, docket entries, client list updates, billing coordination, expense processing, and invoice payments in accordance with firm accounting policies.
- Prepare financial statements and reports and assist with basic bookkeeping tasks.
- Act as a liaison between the Managing Partner and internal/external stakeholders, screening and responding to inquiries as appropriate.
- Support meeting preparation, including the creation of agendas, compiling briefing materials, and tracking action items.
- Maintain an organized and up-to-date filing system for client and administrative matters.
- Handle confidential information with discretion and professionalism at all times.
Qualifications:
- Post-secondary education in legal administration or business administration (or equivalent).
- Minimum of three years’ experience supporting senior-level professionals in a legal, professional services, or corporate environment.
- Strong organizational skills with the ability to anticipate needs and manage competing priorities.
- Excellent written and verbal communication skills.
- Experience with Ecore and MinuteBox is considered an asset.
- Experience using legal accounting software, preferably ProLaw, for billing, file openings, and matter management is considered an asset.
- Demonstrated professionalism, discretion, and sound judgment.
- Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint); experience with legal practice management tools is an asset.
- Able to work independently while contributing to a collaborative environment.
