Job Summary
The Director of Property Management will showcase the Vivenda Brand through the professional management of our company’s multi-family and commercial real estate portfolio, delivering exceptional service and operational excellence while cultivating a sense of community in all our properties.
Duties and Responsibilities
To assist ownership in achieving their objectives, including:
- Delivering value-based tenancy for residents and tenants across residential and commercial assets
- Maintaining high property standards and curb appeal through a team of in-house maintenance professionals
- Supporting a culture of best-in-class service for both residential and commercial tenants
- Providing strong leadership, mentorship, and coaching to the property management team
- Developing and enforcing property management policies, SOPs, and compliance frameworks
- Driving operational efficiency and continual process improvement
- Supporting revenue growth and NOI optimization, with an emphasis on return on investment
Strategic & Financial Oversight
- Prepare and manage annual operating and capital budgets for all assets
- Collaborate with ownership and executive leadership to align portfolio performance with long-term investment goals
- Evaluate property and lease performance; identify strategies to improve financial returns
- Lead monthly reporting on financials, leasing, team development, and asset performance
- Oversee CAM reconciliations, lease escalations, and capital planning
- Analyze market data to identify trends, repositioning opportunities, or acquisition targets
Asset Operations
- Direct and review preventative maintenance programs, vendor contracts, and building system servicing
- Ensure compliance with municipal, provincial, and federal building codes, health and safety legislation, and environmental standards
- Review and approve marketing and leasing strategies for both residential and commercial properties
- Lead capital improvement and renovation planning, particularly for tenant-facing upgrades in commercial spaces
Leadership & Culture
- Lead and support the property management team including property managers, leasing, maintenance, and custodial staff
- Foster a team culture based respect, trust, value, and care
- Support managers in navigating RTDRS processes and lease enforcement
- Stay current on arrears, lease expiries, and occupancy forecasts
- Be available to support on-call emergencies and complex tenant issues when needed
Qualifications – Education and Experience
- Minimum 7–10 years’ experience in property management across multi-family and commercial real estate (retail, office or mixed-use preferred)
- At least 7 years in a senior leadership role, with proven success in building high-performing teams
- Experience in managing commercial leases, renewals, and tenant relations
- Strong understanding of Triple Net (NNN) lease structures, CAM, and tenant improvement (TI) processes
- Post-secondary education in real estate, property management or business
- RECA license, CPM or RPA designation is a strong asset
- Expertise in the Residential Tenancies Act, plus working knowledge of commercial lease law
- Solid understanding of OH&S regulations, environmental compliance, and energy efficiency practices
- Highly proficient with Yardi, MRI, or equivalent property management software
- Class 5 driver’s license with clean abstract; clear police/vulnerable sector check
