We are currently recruiting for an Accounts Payable Accountant!
This is a Full Time and Permanent Position
Position Overview
The Accounts Payable Accountant opportunity encompasses a wide range of duties, which includes, but are not limited to: distribute, verify and input a high volume of accounts payable invoices, cheque runs, generating payments, processing of expense reports, resolving accounts payable issues with vendors, and completing special project work as required for the accounts payable department. In addition, the Accounts Payable Accountant will also handle vendor accounts reconciliations, and other ad-hoc duties as assigned.
Job Duties
-
Monitor accounts payable mailbox for incoming invoices and distribute to applicable managers for invoice approval;
-
Monitor invoice mailbox for approved invoices and sort by responsible team member electronically;
-
Review invoices to the company for potential errors and/or discrepancies;
-
Review approved invoices as assigned against approval matrix, and follow-up on any invoices not fully approved;
-
Match invoices to work orders and input approved invoices, investigation required for any variances;
-
Process any work orders on pay by work order system on a daily basis;
-
Balance daily A/P batches; prepare and distribute payment reports and statistics to Treasurer;
-
Prepare and generate payments to third parties, whether by cheque run, EFT, credit, or other forms of payment;
-
Review all back charges, refunds, adjustments, etc., and manage/apply such adjustments to applicable vendors accounts in a timely manner supporting cash management;
-
Post and reconcile company payments to general ledgers;
-
Investigate and resolve billing discrepancies or misapplied cash transactions;
-
Perform vendor account reconciliations to ensure accuracy and completeness of payments made;
-
Abide by invoice approval and payment policies to ensure timely A/P payments and mitigate vendor objections;
-
Investigate payment problems while following corporate policies and procedures;
-
Continuous improvement of A/P policies and procedures, share best practices, and update related documentation;
-
Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners;
-
Other ad-hoc duties as assigned.
Requirements
The successful Applicant will have:
-
1 to 3 years experience within an accounts payable department of a mid to large sized company, prior experience in the home building or construction industry preferred;
-
Accounting certificate, diploma or degree;
-
Basic knowledge of the accounting cycle, systems, budgets, and internal controls;
-
Fast and accurate data entry skills;
-
Experience in data gathering, compiling information, and perform account reconciliations;
-
Strong problem identification and resolution skills;
-
Ability to communicate with a diverse group of internal and external individuals, both verbally and in writing;
-
Diplomatic conflict resolution skills to handle vendor disputes;
-
Strong stress and time management skills in order to meet deadlines;
-
Positive attitude and quick learner;
-
Strong work ethics and integrity for handling confidential information and monetary transactions;
-
Advanced proficiency with software and programs such as Microsoft Excel and Adobe PDF;
-
Experience with Dynamic 365 and/or Yardi EPR system is considered an asset.
