Primary Responsibilities:

  • Provide high-level support to legal professionals with busy practices.
  • Draft, format, proofread, and file legal documents for Ontario Courts.
  • Manage multiple calendars, including scheduling meetings, court appearances, and arbitration hearings, while tracking all related deadlines.
  • Maintain organized and confidential client files, both digital and physical.
  • Communicate professionally with clients, opposing counsel, courts, and other external parties.
  • Review legal documents for accuracy and completeness.
  • Support billing and time entry processes, ensuring timely and accurate submissions.
  • Use legal software and tools for case management, e-discovery, and document automation.
  • Provide administrative support during court proceedings and client meetings, including preparation and follow-up.
  • Collaborate with legal professionals and other assistants to meet deadlines and adapt to shifting priorities.
  • Ensure compliance with legal standards and ethical guidelines.
  • Deliver excellent client service and help maintain strong client relationships.
  • Perform other administrative tasks as needed to support the firm’s operations.

Required Knowledge and Experience

  • Post-secondary education in Office Administration (Legal), Law Clerk program or related field preferred
  • Minimum 3 years of experience in Civil Litigation is preferred
  • Advanced understanding of the Rules of Civil Procedure
  • Experience with Ontario court processes
  • Certification in legal administration or law clerk studies is an asset
  • Proficiency in legal software and Microsoft Office Suite
  • Bilingual (French and English) is preferred
  • Proficient in Microsoft Office Suite and firm-specific applications.
  • Understanding of legal documentation and production sequences.
  • Familiarity with key business cycles and procedures (e.g. closings, court filings)
