About The Role WDHS is seeking a highly motivated and enthusiastic Administrative Assistant to join the Physiotherapy Department.
Your primary responsibility will be to provide high-level administrative and clerical support to the Physiotherapy Department at Western District Health Service. This role is essential in ensuring the smooth operation of Physiotherapy and Exercise Physiology Services by coordinating appointments, managing records, liaising with consumers and staff and supporting the efficient delivery of care.
Duties Will Include, But Are Not Limited To
- providing administrative support to physiotherapists, exercise physiologists and allied health assistants, including resource management and clinical appointment scheduling;
- Assisting clinicians in maintaining accurate and up to date consumer records;
- liaising with internal departments, consumers, families and external service providers;
- Supporting consumer intake processes, including referrals, waiting list management, bookings, reminders and follow-up communications;
- Prepare documentation including letters, reports and billing forms;
- Assist with the collection, entry and reporting of clinical statistics and Key Performance Indicators (KPIs);
- Manage stock ordering, equipment tracking and general office supplies for the Physiotherapy Department;
- Uphold consumer confidentiality and data protection standards in line with health service policies.
Key Selection Criteria Essential
- Previous experience in an administrative or clerical role
- High level of computer literacy including Microsoft Office (Word, Excel, Outlook)
- Excellent communication and interpersonal skills with a strong customer service focus
- Demonstrated ability to prioritise tasks, manage time effectively and work both independently and as part of a team
- A calm and professional demeanour under pressure
- Attention to detail and accuracy in data-entry and record keeping
- Commitment to confidentiality, privacy and ethical standards
- Excellent written and verbal English Skills
Desirable
- Certificate III or IV in Business Administration (Medical) or equivalent experience
- Experience working in a rural or regional healthcare environment
- Familiarity with physiotherapy or allied health clinical workflows
- Knowledge of medical terminology and other billing processes.
