Description Of Responsabilities
- Communication Management: Opening and distributing emails between departments (Customer Service, Carriers, Production, Laboratory, Finance, etc.). Frequent communication via phone and email with clients, carriers, and colleagues.
- Logistics Planning: Organizing deliveries, scheduling appointments with carriers, and coordinating inter-warehouse transfers. Following up on material returns with clients and coordinating with warehouses or external stakeholders.
- Order Management (SAP): Creating, modifying, printing, and closing orders. Preparing delivery and customs documents. Filing, scanning, and transmitting documents.
- Material Tracking: Printing and preparing orders, checking product availability, coordinating with the laboratory. Entering and validating material movements in SAP, managing storage locations (after production or physical changes).
- Operations Support: Assisting warehouse supervisors, planning labels, creating manual orders, handling purchase requests for various departments, receiving orders and returns in SAP.
- Documentation and Procedures: Updating internal manuals, tracking training, producing reports (e.g., weight tickets), entering data in Excel.
- Rail Coordination (CN): Monitoring schedules and railcar orders.
- Carrier Service: Greeting drivers, verifying and collecting signatures on documents.
- Other Related Tasks: Participating in various administrative or logistics support activities as needed for operations.
Education and experience
- Diploma in Office Administration (DEP) or equivalent;
- Minimum of 3 to 5 years of experience in a similar role;
- Advanced proficiency in Microsoft Word and Excel;
- Proficiency in English (spoken and written);
- Bilingualism (spoken and written in French and English) is required;
- In-depth knowledge of SAP is an asset.
