Location: Veterans Memorial Lodge – Saanich
Position / Schedule: COMMON - Set B-2x5:00-13:00/2x10:00-18:00- Meal 30 - 4/2 - 1.00 FTE (1827)
Status: Temporary Full Time Competition #: 2025-80

SUMMARY

This position functions within the context of tight time-lines, staffing shortages, and constant interruptions and demands from staff and is required to independently make complex staffing decisions on short notice. Staff are scheduled according to availability and seniority, in accordance with collective agreement provisions, and other factors.

We require individuals who value precision, have excellent organizational skills, and who have enjoyed previous success managing a robust workload, while handling frequent interruptions and working within tight timeframes. The successful candidates will interact with a diverse range of staff primarily by telephone. The excellent interpersonal and communication skills that you bring to the position will assist you in working independently and under limited supervision. Scheduling is performed using an automated program that is integrated directly with our payroll system.

The position is accountable for:

  • Being the primary telephone contact for staff who call to advise of unavailability for work, and ensuring that the applicable supervisors are informed;
  • Contacting and scheduling relief staff to replace employees who are absent;
  • Auditing and adjusting to ensure that staff’s hours are accurately recorded and reported;
  • Preparing the daily schedule for email in a timely manner for 3 shift report times; and
  • Preparing and posting the monthly staff schedules for all staff in a timely manner

QUALIFICATIONS

Education:

  • Completed Grade 12

Experience:

  • At least one year’s experience performing scheduling in relation to interpretation of collective agreement(s)
  • Working in a payroll environment
  • Use of MS Word and Outlook
  • Experience using Ceridian Dayforce or a similar software program is preferred
  • Equivalent combination of related experience and education may be considered
  • Must be eligible to work with vulnerable adults & children under the BC Criminal Records Review Program
  • Negative TB Screen
  • Successful candidates will be required to report their vaccination status
