Position Summary
The Administrative Assistant provides comprehensive administrative and clerical support to Employee Health Services, including managing medical files, scheduling assessments, preparing correspondence, and processing invoices. The incumbent will act as a key point of contact, assisting employees with referrals, Employee Family Assistance information and injury reporting. They will also provide support to the Manager and Ability Assistants with various health and safety-related tasks.
Job Duties/Responsibilities

facilitating referrals to health care professionals and referrals for functional capacity evaluations

providing information regarding the Employee and Family Assistance Program (EFAP)
-
providing advice and assistance to administrators regarding injury reporting protocol
-
scheduling appointments for physician assessments and forwarding supporting documentation
-
reviewing information and preparing correspondence for signature by the Manager
-
opening and maintaining confidential medical files and entering information into PeopleSoft
-
preparing receipts and invoices for payment
-
preparing meeting minutes for various committees
-
providing secretarial and administrative support to the Manager and Employee Health Services

providing support to the Ability Assistants relative to Work Related Injury Reports, Injury Reporting Hotline and WCB Reporting
Education/Qualifications
-
high school diploma plus a one year post-secondary program of studies
-
a minimum of one year of related experience preferably in an educational environment
-
ability to meet multiple deadlines in a high pressure environment
-
strong data entry skills
-
knowledge of human resources policies, regulations and procedures
-
proficiency with Microsoft Office, Google Workspace, PeopleSoft
Rate of Pay
$32.48 - $41.36 per hour
