JOB DESCRIPTION

Title: Accounting and Back Office Manager

Department: Finance and Back Office Reports to: CFO

Mission

Position overview: This role is integral in ensuring accurate financial reporting, regulatory compliance, and efficient day-to-day operations. This position performs a variety of accounting and financial procedures relating to credit union accounts, general ledgers, trial balances, financial statements, statistical reports, internal financial controls and procedures, month end processes and procedures, financial analysis, Board and Audit Committee reports, monthly legislative compliance reports, and ongoing quality service and support to internal colleagues and management.

Knowledge, Skills and Abilities:

The following list of skills is normally acquired through a combination of education and experience:

Ø CPA or minimum of 5 years of progressive accounting/finance experience. Credit union or financial institution experience is preferred.

Ø Minimum of 2 years demonstrated leadership experience, leading and motivating cross-functional teams

Ø A degree in Accounting, Finance or Business Administration is required.

Ø Knowledge of payroll, accounts payable, IFRS, financial reporting and general ledger management.

Ø Ability to proficiently use office software such as word and excel as well as accounting software (ie: Prologue, Sage, Quickbooks, or credit union core banking platforms)

Ø Crystal Reporting and database administration are considered an asset.

Ø Excellent written and verbal communication skills for stakeholder interaction and reporting.

Ø Strong problem-solving skills with a keen eye for detail

Ø Process-oriented Project Management with a focus on development, improvement/enhancement and transparency

Ø Ability to thrive in a dynamic environment and manage multiple priorities

Duties & Responsibilities:

Accounting & Financial Management:

Ø Oversee daily accounting operations including GL reconciliation, accounts payable/receivable, and payroll.

Ø Prepare monthly, quarterly, and annual financial statements in compliance with IFRS.

Ø Coordinate internal and external audits and ensure adherence to regulatory standards.

Ø Assist with budgeting and forecasting processes in collaboration with senior leadership.

Ø Analyze financial data and provide insights to support strategic decision-making.

Ø Ensure compliance with regulatory and reporting requirements (FSRA, FINTRAC, CRA, etc.).

Ø Manage NHA-MBS Securitization process – pooling, selling and reporting.

Operations Management:

Ø Supervise the operations team, ensuring efficient execution of member services and back-office processes.

Ø Implement and monitor internal controls and operational procedures to enhance efficiency and mitigate risk.

Ø Oversee systems related to banking operations, including core banking software, transaction processing, and reporting.

Ø Liaise with IT, compliance, and member services to ensure seamless integration of operations.

Ø Develop and enforce policies and procedures in line with credit union best practices and evolving regulations.

Leadership & Strategic Support:

Ø Participate in strategic planning and contribute to organizational growth and member service excellence.

Ø Mentor, train, and evaluate team members to promote professional development.

Ø Collaborate with other department heads to align financial and operational goals with the credit union’s mission.

Other duties as assigned.
