About the role
Complexity and Scope of the Position
Reporting to the Senior Director, Operational Excellence, this role is a key enabler in the successful execution of Chartwell’s enterprise-wide implementation of Oracle Time & Labour and Oracle Workforce Scheduling. The Workforce Systems Consultant will serve as the hands-on operational subject matter expert within assigned sites, ensuring technology adoption, behaviour change, and alignment with Chartwell’s labour standards and frontline expectations.
The position requires extensive travel and direct field engagement, supporting General Managers, Office Managers, and front-line team members through system go-live, stabilization, and operational integration.
Key Activities
- Serve as an operational subject matter expert on the Oracle Time & Labour and Workforce Scheduling modules throughout the rollout lifecycle.
- Lead site-level onboarding to new systems, ensuring compliance with system workflows, CBA rules, and labor management protocols.
- Embed within assigned homes during rollout phases to support real-time training, coaching, and system adoption for both management and staff.
- Act as a trusted representative for Senior Operations, ensuring implementation standards are met and local execution is aligned with enterprise expectations.
- Provide feedback to the project steering committee based on field observations, supporting continuous improvement in rollout quality and user experience.
- Identify and address site-specific operational risks, inconsistencies, or adoption barriers related to timekeeping and scheduling workflows.
- Collaborate with Payroll, HR, and IT teams to ensure smooth data flow and configuration alignment between business and technical teams.
- Contribute to documentation, playbooks, and rollout templates to scale best practices across future implementation waves. Other responsibilities as assigned by project leadership and consulting team.
Qualifications
Experience:
- Minimum 5 years of progressive experience in operational management, preferably in a senior living, healthcare, or unionized multi-site setting.
- Demonstrated success in supporting field-level technology or process change initiatives.
- Experience working with scheduling and/or timekeeping systems (e.g., Oracle, Kronos, Agendrix, Synerion, etc.). Strong familiarity with frontline operations and the dynamics of site-level execution.
Education:
- Bachelor’s degree in business, operations, healthcare administration, or a related field. Training in change management, workforce systems, or process improvement methodologies is an asset.
Skills & Abilities:
- Strong communication and interpersonal skills with the ability to influence site teams and build trust quickly.
- Technologically adept, with the ability to learn enterprise systems and guide others through usage and troubleshooting.
- Comfortable with ambiguity and able to problem-solve in live, dynamic operational environments. Proven ability to represent project leadership in cross-functional and site-specific meetings, escalating challenges appropriately.
Special Requirements
- Frequent travel across Canada required during rollout phases (including Ontario, Alberta, BC, and Québec).
- Bilingual (French and English) is a strong asset, particularly for Québec implementation support.
- Valid driver’s license. Criminal Records Check and Vulnerable Persons Check.
