Administrative Assistant Contract (12 months)

Reporting to the Manager of Economic Development & Strategic Initiatives, the Temporary Full Time Administrative Assistant –Economic Development & Tourism carries out a complete range of customer service and clerical support functions for the Elgin County Administrative facility. The main function of the role is to greet and direct visitors to the Administration facility, provide documents and instruction as required and perform a variety of administrative functions
Key Responsibilities:
- Directs visitors accordingly and/or contacts the department or they are seeking.
- Performs receptionist duties for the facility, greets visitors, responds to main reception telephone (acts as central answering position for the Administration Building phone system) and electronic communications, provides information and refers enquiries to other staff where appropriate.
- Receives and sorts mail according to department. Prepares mail for distribution by courier to the County’s Homes for Seniors and distributes courier mail from the Homes to the designated departments in the Administration Building.
- Attends meetings as required. Takes notes/minutes as necessary.
- Attends and assists with Tourism events and supports general Tourism inquiries.
- Performs word processing, photocopying and data entry and other administrative duties as assigned.
- Coordinates general supply orders for the facility.
- Provides general administrative support for various departments within the County Administration facility, including but not limited to Provincial Offenses, Planning, Director of Homes & Seniors Services, Finance, Emergency Management and Human Resources.
Qualifications:
- College diploma in Office Administration and/or other relevant education and related experience.
- High proficiency with MS Office, particularly MS Word, Access and PowerPoint. Ability and willingness to learn and operate various in-house computer systems i.e. Laserfiche
- Advanced and professional experience in front line customer relations in both telephone and face-to-face encounters.
- Ability to work collaboratively in a team environment.
- 1-2 years of experience in a similar clerical support or customer service role.
Hours: 35 Hours per Week
Remuneration: $31.45 - $36.79 per hour ($57,235.83 - $66,960.71 per year)
Effective: September 2nd, 2025 to September 17, 2026
