Are you detail-oriented, organized, and passionate about payroll? Alberta XTL Terminal is looking for a Payroll Clerk to support our team!
The Role: Reporting to the Terminal Manager, the Payroll Clerk will support our operations team with weekly payroll entries, processing expenses, and providing support with AP/AR for the Alberta transportation team.
Responsibilities
Payroll Data Entry and Record Management:
- Process bi-weekly payroll for salaried staff and weekly payroll for drivers
- Verify and enter time/trip sheets for completeness and accuracy, including hours works, vacation and applicable leaves.
- Record and enter applicable vacation, sick time, and report leaves to management.
- Review driver time/trip sheets and enter driver payroll on a weekly basis.
- Record and archive payroll records on a weekly basis.
- Process driver reimbursements.
- Provide support to employees regarding access to their ADP portal, pay statements, and year-end tax documents.
- Escalate payroll discrepancies and employee concerns to Driver Manager
- Collaborate with internal departments to ensure payroll and personnel records are accurate and up to date.
- Ensure strict confidentiality and privacy of employee and company records.
AP/AR:
- Verify and process Proof of Deliver (POD) documents.
- Research resolve invoice discrepancies.
- Issue invoices to customers, track payment schedules.
- Maintain vendor accounts and records.
- Reconcile and monitor expenses.
Administrative Support:
- Handle general office duties:data entry for office needs, filing and record management, receiving calls, messages and mail
- Manage office supplies and support operations with administrative requests
- Assist with the planning and organizing of office events
- Answering calls, taking messages and redirecting calls
- Administrative support to the Terminal Manager
What You Bring:
- 1 -2 years of administrative or reception experience
- Ability to maintain weekly payroll deadlines
- Ability to exhibit a high degree of confidentiality
- Strong organizational skills and attention to detail
- Excellent communication skills (verbal and written)
- Strong computer skills (MS Word, SharePoint, PowerPoint, Excel, Notes, Apple)
- Excellent time management
