Accounting / Warranty Assistant

Position Summary
Reporting to the Accounting Manager, the Accounting Assistant will support day-to-day accounting operations with a high level of accuracy and discretion.
This is a 1-year position with a planned transition into a Warranty Administrator role. Upon transition, the successful candidate will report to the Director of Fixed Operations under the Service Department.
The ideal candidate is proactive, detail-oriented, highly organized, and confident in handling confidential information while working independently under pressure.
Duties and Responsibilities
Accounting – Year 1
· Process accounts payable and receivable transactions
· Prepare and process monthly cheque runs and manual cheques
· Perform general accounting duties including data entry, invoice and payment postings, journal entries, and month-end reporting
· Process and follow up on vendor credit requests, match incoming credits, and resolve discrepancies with vendors or internal departments
· Assist in reviewing financial records for accuracy, compliance, and completeness
· Provide occasional administrative support across departments
· Perform other related duties as required
Warranty – Post 1 year
· Submit and track warranty claims with accuracy and follow up as required
· Maintain organized, up-to-date warranty records, schedules, and documentation
· Process timely payments to customers and dealer-sponsored fleets
· Review claim discrepancies and ensure compliance with vendor and OEM guidelines
· Stay current on warranty systems, OEM updates, and procedures
· Ensure compliance with all internal and external warranty policies
Qualifications
· Minimum 2 years of experience in accounting, administration, or warranty-related roles
· Solid knowledge of general accounting principles
· Strong organizational and time management abilities
· Excellent attention to detail and a high level of accuracy
· Ability to handle confidential information with discretion
· Clear and professional verbal and written communication skills
· Proficiency in Microsoft Excel and dealership/accounting software (CDK experience is an asset)
· Experience in the automotive, heavy-duty, or equipment industry is considered an asset
· Education in Accounting or a related field is a strong asset
Based on the safety requirements of this role, all applicants are required to pass pre-employment drug and alcohol testing before gaining employment.
Compensation will be considered based on experience.
