Canterbury Gardens is looking for a confident and professional Administrative Assistant who embodies a positive attitude while delivering exceptional customer service to join our multidisciplinary team. The Administrative Assistant will provide courteous and professional front desk reception to residents, family members, guests and visitors, effectively manages resident accounts, and provides proactive support in all day-to-day office activities of the Home.
Responsibilities
- Provide the highest calibre of customer service and build rapport with residents, guests, and vendors by actively listening and offering effective and timely responses and solutions in person and by phone
- Manage administrative tasks such as answering and directing incoming calls, mail distribution, and providing support to the Executive Director
- Responds promptly to resident and family concerns in a manner that optimizes resident dignity and confidentiality
- Ensure accuracy and timeliness in the maintenance of resident accounts, appropriate documentation is maintained, and that accounts are collected when due
- Support clerical functions including assistance with payroll, scheduling and arranging meetings, and assisting in the coding and submission of invoices for payment
- Coordinates activities of part-time Desk Clerks including participation in selection and training, monitoring performance, developing work schedules
- Promotes teamwork and good relationships with co-workers
- Must be available to work various shifts, including holidays and weekends as needs and special events dictate
Qualifications
- College diploma in Business or equivalent education and/or experience is required
- Minimum of 2-3 years of experience in office administration required
- Advanced level computer knowledge in MS Office required
- Strong organizational, interpersonal, and customer service skills are essential
