About the role
EXECUTIVE RECEPTIONIST required for a one-year maternity leave with a successful real estate development company to effectively manage the front end of their offices. Candidates must have reception experience coupled with administrative and accounting skills to assist various departments with their daily tasks and projects. Our Client offers a collaborative and team environment whereby everyone assists and/or covers for fellow employees. Incoming calls will be answered by the Receptionist and forwarded to the appropriate person. You will greet and register all incoming guests to the office upon arrival. They provide a security-monitored premise.
Responsibilities of this position include:
* Receive incoming calls and forward to the appropriate team members
* Greeting guests as they arrive, offer beverages, coat check, and guest Wi-Fi access
* Monitor elevator and building cameras for security
* Keep track of employees who have key fobs and fingerprint access
* Arrange for business couriers
* Manage the organization and maintenance of supply rooms
* Manage inventory of office supplies and order stock as needed
* Oversee the maintenance of office equipment etc.
* Oversee the maintenance of the employee kitchens
* Preparing & clearing the boardroom before and after guests
* Arranging team and meeting lunches
* Delivering mail to Canada Post
Administrative and Accounting Duties:
*Prepare monthly expense reports for corporate credit cards
*Manage the centralized accounts payable inbox
*Input purchase orders and invoices
*Take ownership of resolving late payment notices
*Process time sheets for various staff
Software Qualifications: MS Office Suite including Outlook, Word, and Excel. Knowledge of Yardi is an asset.
Hours: Fixed from 9 am. to 5 pm. Must have a vehicle. Parking provided.
