Today, the Royal College has over 55,000 members and the vision remains to advance the learning for specialist physicians to deliver the best health care for all. The Royal College partners and collaborates to lead the evolution of specialty medical education and standards; support specialist physicians, learners and teams to continuously improve; and advocate for excellence in specialty medicine by supporting innovation, well-being, equity and person-centered care. We are a national, nonprofit organization established in 1929 by a special Act of Parliament to oversee the medical education of specialists in Canada.
Reporting to the Manager, EMHS, the incumbent is responsible for coordinating the logistics of events taking place in Royal College facilities, in other facilities offsite in Ottawa and across Canada, whether in person, virtual or hybrid, and for providing advice and guidance to clients to ensure the successful production and support of events and optimal use of Royal College meeting space.
Under the direction of the Team Lead, Conference Management, the incumbent leads, coordinates, and implements various conference planning activities to support the delivery of Royal College conferences taking place in Royal College facilities, in other facilities offsite in Ottawa and across Canada, whether in person, virtual or hybrid.
Here’s an insight into your typical day to day:
- Coordinates logistics with internal and external suppliers to produce and support events to EMHS/Royal College standards. This includes:
- Researches options, develops and coordinates Requests for Proposal, recommends or selects suppliers including venues, and negotiates contracts
- Processes all event details in USI (Momentus Technologies) software and implements all logistics (e.g., meeting room setup, food & beverage, equipment or furniture rentals)
- Evaluates events and makes recommendations for continuous improvement
- Researches, recommends, implements and communicates standards, guidelines and best practices
- Builds and maintains relationships with clients to ensure all requirements are understood and met, and clients feel supported.
- Coordinates and implements arrangements for conferences including but not limited to food and beverage, technology, travel and accommodation, shipment and materials management, destination management company (DMC) services (e.g., entertainment, floral/décor arrangements, shuttle transportation), registration, exhibits and sponsorship, evaluations, etc. as per requirements of Royal College conferences.
Does this sound like you?
- Level of education, training, and experience equivalent to a College diploma in Meetings and Events planning or related field.
- At least 3 years’ of directly related experience.
- Working towards or completion of Certified Meeting Professional (CMP) designation is an asset.
- Ability to travel to conference sites in Ottawa and across Canada, typically one per year.
- Proficiency in the operation of broad-based computer software and ability to adapt to changing technologies.
- Bilingualism is an asset.
