Position Overview:
We are seeking a detail-oriented and motivated Accounting Administrative Assistant to join our growing team. In this role, you will work closely with and support the Accounting Manager in handling various accounting and administrative duties. The ideal candidate will have strong organizational skills with experience or schooling in accounts payable (A/P), accounts receivable (A/R), payroll assistance, and general office administration.
Key Responsibilities:
- Assist with A/P and A/R data entry, processing, and reconciliation
- Prepare and manage invoices, purchase orders, and related documentation
- Support payroll processing, including timesheet tracking and employee records
- Organize, file, and maintain financial documents in both physical and digital formats
- Respond to inquiries from vendors, clients, and internal staff regarding billing and payments
- Assist in monthly and year-end financial procedures as needed
- Provide general clerical support, including scheduling, email correspondence, data entry and greeting customers
- Collaborate with the Accounting Manager to ensure accurate and timely financial reporting
Qualifications & Requirements:
- Strong organizational skills and attention to detail
- Proficiency in English
- Previous experience or schooling in an accounting or administrative support role (construction industry experience is an asset)
- Proficiency in Microsoft Excel
- Experience with accounting software (QuickBooks preferred)
- Ability to manage multiple priorities and meet deadlines
- Excellent communication and interpersonal skills
