Position Summary:
Under the direction of the immediate supervisor, the incumbent will provide comprehensive administrative and operational support to CRCF, including financial tracking, event coordination, research grant assistance, and communications support.

Major Duties and Responsibilities:

  • Track CRCF membership & documentation
  • Gather information and assist with annual report production
  • Process expense reports, create and track budgets, assist with research grant administration where needed
  • Follow-up on financial transaction issues and ensure that the Senior Office Coordinator is kept up-to-date on these issues.
  • Assist with reconciliation of financial statements
  • Provide assistance to the Senior Office Coordinator and Researchers with the preparation of approval forms
  • Maintain CRCF calendar & Room Bookings
  • Coordinate research seminars and schedules board meetings & AGM
  • Maintain information accuracy of CRCF Website and coordinate with Digital Communication Associate as needed
  • Maintain information accuracy of CRCF Facebook page and coordinate with Digital Communication Associate for updates
  • Assist with RA recruitments and initiates job requisitions in Workday
  • Maintain Listserv – adding new members & forwarding documentation
  • Act as resource person concerning the use of software, shared network space (S: drive), permissions, organization
  • Liaise with computer resource person as required to organize technical resources and space organization
  • Ensure the purchasing of computers
  • Ensure physical space allocation and maintenance
  • Coordinate CRCF hardware and software – loaner laptops, hardware problems
  • Assist with coordination and special events

Other Qualifying Skills and/or Abilities:

Strong organizational and time management abilities. Excellent written and verbal communication skills with both internal and external stakeholders. Familiarity with Workday. Experience managing calendars, bookings, and scheduling meetings/events. Ability to coordinate annual reports and collect supporting data. Experience processing expense reports and reconciling financial statements. Knowledge of budget tracking and basic accounting principles. Experience assisting with research grant administration an asset.
