Casual Unit Clerk

Position Summary:

In accordance with the Mission, Vision and Values, and strategic directions of Buchanan Lodge, this position promotes a safe environment for patients, resident, families, visitors and staff.

Reporting to the Director of Care or designated, the position performs a variety of clerical and secretarial duties in support of nursing unit(s) and other areas. Duties include: reception, transcribing and processing doctor’s orders, booking resident appointments, typing correspondence and other documents, data entry and collection, preparing and maintaining statistics, generating reports, calling in relief staff, maintaining timekeeping records, filling, and ordering supplies. Performs other related clerical duties as required.

Duties and Responsibilities:

Performs receptionist duties by receiving visitors, answering routine inquiries and telephone calls/ emails and /or directing them to appropriate departments or staff, and providing information and direction. Refers all resident condition inquiries, problems and complaints to the appropriate authority. Obtains resident information for admission to the facility, provides routine information and collects fees and signed consent forms. Provides information regarding payable fees according to hospital policy and collects and deposits money related to fees. Maintains resident trust accounts: receives resident rent and comfort cheques, records and provides receipts as required. Provides petty cash to residents, records on spreadsheet, and balances cash box account. Refers any issues to Finance Department staff. Performs clerical duties such as filing, typing, photocopying, ordering and distributing routine office supplies, maintaining office equipment (e.g., changing printer cartridges, filing paper trays and calling vendor for repairs), takes minutes at staff meetings, collects data, enters and retrieves information from computerized systems, and maintains statistical records. Sets up and maintains filing systems for materials such as correspondence and general information. Monitors the building’s lobby area and parking lot (including ensuring that visitors and contractor sign-in correctly) and informs them of parking restrictions and outbreaks protocol, maintains and updates the entryway information board, and creates posters. Records reported statistical data on individual resident charts such as blood pressure and weight in accordance with established procedures. Transcribes physicians’ orders to appropriate forms such as x-ray and lab requisitions, processes orders, and follows up as required. Book resident appointments for necessary tests and procedures and arranges transportation as required. As required, calls in relief nursing and other resident care staff to fill temporary staffing requirements and in accordance with pre-determined guidelines, maintains timekeeping records for regular and relief staff and submits/ enters to payroll systems as required. Refers problems to supervisor. Maintains records on relief staff such as: names, addresses, telephone numbers, availability for work, suitability for work area and hours worked. Observes patient call signals and relays messages to the appropriate personnel as necessary. Maintains stock of unit stationary and supplies and orders to specified levels. Delivers items as required. Assists in orientating new staff to unit by performing duties such as demonstrating own work, referring to new employees to standard procedures and or escorting them to physical areas/ locations in the Centre. Actively promotes a culture of resident safety by adhering to established safety policies, standards, and procedures including emergency protocols. Reports hazards, unusual occurrences, accidents and unsafe situations to immediate supervisor or designate. Performs other related duties as assigned.

Qualifications

  • Grade 12, medical terminology
  • recognized Nursing Unit Clerk program plus one year’s recent related experience, or an equivalent combination of education, training and experience.

Skills and Abilities

  • Ability to keyboard at 50 wpm.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Ability to organize work.
  • Ability to operate related equipment .
  • Physical ability to carry out the duties of the position.
  • Ability to use a variety of software applications.

Compensation:

The target hiring range for this position is $24.80 to $24.80 with a maximum of $24.80.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
