LL est à la recherche d'un(e) Administrateur(trice) principal(e), Immobilier (Comptabilité) relevant de la Directrice régionale, gestion immobilière. Le titulaire de ce poste sera chargé de superviser la préparation de rapports financiers mensuels, trimestriels et annuels avec exactitude, dans les meilleurs délais et conformément aux exigences du client en matière de production de rapports. De plus, l'Administrateur(trice) principal(e) participera également à l'élaboration des budgets et prévisions financières et sera aussi responsable de la préparation des dossiers de vérification de fin d'année pour les propriétés qui lui sont assignées.

CE QUE VOUS FEREZ

Assurer l’exactitude de l’enregistrement des données comptables des baux dans le système Yardi et le système de comptabilité financière et ce au moment opportun

Passer en revue et interpréter les baux, préparer des sommaires de baux et les documents connexes pour qu’ils soient transmis au service de la comptabilité

Assister à la préparation des budgets d’exploitation annuels ainsi que produire les rapports finaux incluant les analyses de variances mensuelles et trimestrielles par rapport aux chiffres initiaux pour chacune des propriétés

Assister le ou les gestionnaires dans l’élaboration du plan de budget de capital

Produire les écritures de journal de clôture de fin de mois (courus) pour chacune des propriétés

Effectuer l’analyse des écarts réel vs. budget pour la préparation des rapports mensuels et trimestriels au client

Calculer les frais de gestion et de supervision relatifs à l’avancement des projets de construction et compléter la documentation nécessaire à l’émission de la facture

Comptabiliser mensuellement les dépenses d'amortissement

Préparer sur une base mensuelle, trimestrielle et annuelle, les états financiers et les rapports aux partenaires, le cas échéant

Appuyer le gestionnaire et l’équipe de location à analyser et interpréter les rapports de gestion ainsi qu'à la documentation portant sur les arrérages et la location

Compiler et préparer divers documents de travail aux fins du recouvrement de fin d’année pour les locataires

Soutenir le personnel de la gestion et de l’administration en offrant son expertise en matière de comptabilité sur les initiatives de gestion des dépenses. Aider les gestionnaires immobiliers en surveillant mensuellement les projets de contrôle des coûts pour veiller à ce que les engagements et les budgets ne soient pas dépassés

Passer en revue les processus et, recommander améliorations afin d’établir des procédures et des procédés visant à augmenter l’efficience et la production

Établir et maintenir des relations de qualité avec le personnel de l’exploitation et du bureau de la Gestion immobilière ainsi que le personnel du siège social

Mettre en place et utiliser des indicateurs de performance en lien avec les activités de finance et de gestion immobilière. Signaler les écarts au besoin

Accomplir toute autre tâche connexe pouvant être assignée de temps à autre par le supérieur immédiat

CE QUE NOUS RECHERCHONS

Diplôme universitaire ou études postsecondaires de préférence en finances, en comptabilité ou en administration des affaires

Au moins trois ans d’expérience en comptabilité. Une expérience dans le secteur de l’immobilier est requise

Connaissance approfondie des politiques et procédures relatives à l’immobilier est requise

Aptitude à analyser de données financières, y compris en ce qui a trait aux techniques d’enquête, de rapprochement et de résolution de problème

Maîtrise des outils de la Suite Office, Notamment la maitrise d’Excel. Une expérience de Yardi serait un atout

Autonomie, fortes compétences organisationnelles, aptitudes pour la gestion de temps, capacité d’adaptation, capacité à mener plusieurs tâches de front, à travailler de manière indépendante et à établir les priorités afin de respecter les échéances de manière constante

Excellentes aptitudes pour la communication et une bonne capacité d’influence pour maintenir des relations efficaces

Capacité de communiquer des renseignements opérationnels à des collègues ainsi qu’à des clients internes et externes

Excellentes aptitudes en communication, en français et en anglais*, tant à l’oral qu’à l’écrit

JLL is seeking a Senior Property Administrator (Accounting) reporting to the Regional Director, Property Management, the Senior Property Administrator. The incumbent will be responsible for overseeing the preparation of monthly, quarterly and annual financial reports accurately, in a timely manner and in accordance with the client's reporting requirements. The Property Administrator will also participate in the development of budgets and financial forecasts and will also be responsible for the preparation of year-end audit files for the properties assigned to him/her.

WHAT YOU’LL BE DOING

The following is a non-exhaustive list of duties related to this position:

Ensure accurate recording of lease accounting data in the Yardi accounting system and the financial accounting system in a timely manner

Review and interpret leases, prepare lease summaries and related documents for transmission to the accounting department

Assist in the preparation of annual operating budgets as well as produce final reports including monthly and quarterly variance analyses compared to the initial figures for each property

Assist the property manager(s) in the development of the capital budget plan

Produce the month-end (accruals) closing journal entries for each of the properties

Perform the analysis of actual vs. budget variances for the preparation of monthly and quarterly reports to the client

Calculate the management and supervision fees for the progress of construction projects and complete the documentation necessary for the issuance of the invoice

Record depreciation expenses monthly

Prepare on a monthly, quarterly, and annual basis, financial statements and reports to partners, as applicable

Support the manager and the leasing team in analyzing and interpreting management reports as well as documentation related to arrears and leasing

Compile and prepare various working papers for the purpose of year-end collection for tenants

Support management and administrative staff by providing accounting expertise on expenditure management initiatives. Assist property managers by monitoring cost control projects on a monthly basis to ensure that commitments and budgets are not exceeded

Reviews processes and recommends improvements to establish procedures and processes to increase efficiency and production.

Establish and maintain quality relationships with operations and property management office staff as well as head office staff

Implement and use performance indicators related to finance and property management activities. Report discrepancies as required.

Perform any other related duties as may be assigned from time to time by the immediate supervisor

WHAT WE’RE LOOKING FOR

University degree or post-secondary education preferably in finance, accounting, or business administration

At least three years of accounting experience. Experience in the real estate industry is required

In-depth knowledge of real estate policies and procedures is required

Ability to analyze financial data, including investigation, reconciliation, and problem-solving techniques

Proficiency in Office Suite tools, including proficiency in Excel. Experience with Yardi would be considered an asset

Autonomy, strong organizational skills, time management skills, adaptability, ability to multitask, work independently and prioritize to meet deadlines consistently

Excellent communication skills and a good ability to influence to maintain effective relationships

Ability to share business information with colleagues as well as internal and external clients

Excellent communication skills, both oral and written, in French and English*
