MANAGER OF SENIOR SUPPORT PROGRAMS AND VOLUNTEER SERVICES
POSITION DESCRIPTION
DUTIES AND RESPONSIBILITIES:
Program Operations and Management:
-
Oversee end-to-end operations of Meals on Wheels, the Assisted Transportation Program and other related programs.
-
Facilitate intake and assignment of all clients for these, including scheduling transportation appointments, processing meal orders, assigning volunteers to sort/deliver meals and assisting with the processing of monthly client invoices.
-
Manage client and relevant volunteer data base on Better Impact software, ensuring up-to-date and accurate client and relevant volunteer information is maintained.

Develop and update program policies and procedures; ensure staff, volunteers, and clients are aware of all policies and procedures, including any updates/revisions.
People Management:
-
Supervise any support staff and/or volunteers or students hired to support the office and associated programs
-
Provide assistance, as needed, with respect to Volunteer management, i.e. training incoming MOW and Assisted Transportation volunteers, conducting volunteer interviews, etc.

Provide leadership and mentorship to summer and co-op placement students
Recording and Reporting:
-
Complete regular statistical reporting (monthly, quarterly or annually) for assigned programs and volunteer services

Maintain and update program evaluations, statistical records, and budgets (when assigned) for assigned programs
-
Provide monthly program reports to the Executive Director to advise the Board of Directors and stakeholders of program impact and trends

Create accurate and timely client records to provide to the Financial Administrator for monthly billing for all paid programs
Outreach:
-
Build and maintain strategic partnerships and relationships with key community stakeholders including other agencies, businesses, and residents
-
Assist with agency fundraising campaigns, special events and promotion of volunteerism and agency programs within the community.

Develop a strong understanding of issues and barriers affecting the Dundas senior’s population
-
Identify and maintain a database of appropriate referrals to provide if clients and or volunteers are unable to participate in our programs due to eligibility requirements or program capacity limitations
Collaboration:
-
Liaise with other agency staff regarding client case management, problem solving and client advocacy
-
Support other organizational and office duties as required
QUALIFICATIONS:
•Minimum 3-5 years of related experience, i.e. community services or social services sector
•Post-secondary education in a related field or equivalent relevant work experience
•Exceptional organizational skills and ability to prioritize and balance multiple and competing tasks in a busy office environment, often with distractions
•Exceptional communication and active listening skills with an ability to assess situations quickly and appropriately to respond to client or volunteer inquiries and concerns
•Strong interpersonal skills
Sound judgement and problem solving skills
Demonstrated ability to form positive and professional working relationships with staff, volunteers clients and community stakeholders
- demonstrated ability to create and maintain databases and report on statistical information
•Knowledge with Microsoft Office Suite of programs including Word, Outlook, Excel, Power Point, MS Teams, and cloud-based programs such as One Drive and Share Point
•Access to a vehicle and a Valid G licence is essential for program support, community engagement and client interactions
•Must be able to lift up to 30 lbs
Desirable:
A demonstrated passion for working with the senior’s population
Experience working with volunteers
Knowledge of community based resources within Dundas and the Greater Hamilton Area
This position is an on-site role in our office located in beautiful downtown Dundas, Ontario. Office hours are Monday to Friday from 9:00am to 4:30pm.
Job Types: Full-time, Permanent
Pay: $34.06-$38.46 per hour
Expected hours: 35 per week
