An exciting opportunity exists for an employee to join the Director's Office in Water Services. This position is an opportunity to strengthen your knowledge of business unit operations, your political acumen and further develop leadership skills. The ideal candidate is a highly motivated individual with a strong work ethic, who thrives in a constantly evolving and dynamic environment and demonstrates flexibility, resiliency, and initiative. As an active member of the management team, you will support and advise the Director and Deputy Directors and strategically drive the objectives of the business unit and the department. Establishing connections and networks across the department and the corporation is essential in achieving collaboration to fulfill the goals of the business plan. You will actively participate in and contribute to the daily operations of the Director's office. Primary duties include:
- Manage workflow and deadlines in the Director's office and among the Management Team, oversee issues management, and coordinate cross-business unit activities.
- Complete critical review of reports to Council; complete select projects as identified by the business.
- Research, analyze, prepare, and discuss correspondence, Council inquiries and reports on behalf of the Director, collaborating with other business units when required.
- Lead and support communication initiatives coming from the Director's office.
- Support the development and implementation of business planning and budgeting processes.
- Participate in various business unit and departmental committees on behalf of the Director and support the development and delivery of Water Services and Departmental Leadership sessions.
- Manage the agenda for Water Services Management Team meetings and leadership meetings.
- Supervise and lead the work and development of two Senior Administrative Assistants.
- Build and maintain strong and effective working relationships with all levels of City staff, elected officials, external organizations, and members of the public.
Qualifications
- A related degree and at least 5 years progressively more responsible experience.
- Equivalent combinations of experience and education may be considered.
- Experience working with a senior management team and collaborating with other business units is required.
- A solid understanding of The City's administrative processes, such as Executive Leadership Team and Council/committee report processes, will also be considered an asset.
- Demonstrated strong competencies in political acumen, sound decision making and judgment, communication, adaptability to constantly changing environments, organizational skills, relationship building skills, and good working knowledge of The City and its administrative processes.
- Success in this position requires exceptional communication and report writing skills, strategic thinking with demonstrated interpersonal skills, analytical and project management skills, the ability to work independently in a complex environment with minimal supervision, and the ability to execute a multitude of tasks in a high pressure, time sensitive environment.
