DIVISION OPERATIONS LEAD
MARKETING & DIGITAL GROWTH DIVISION
PURPOSE SUMMARY
This role supports the Chief Marketing & Digital Officer (CMDO), ensures operational effectiveness and efficiency of the Marketing & Digital Growth (M&DG) division, effective coordination across the organization (domestically and with Global partners), and optimal engagement with Compassion Canada neighbours served by M&DG. The Divisional Operations Lead (DOL) will ensure ongoing Divisional awareness of and alignment with ELT vision, guidance, directions, and goals; and will facilitate effective Divisional engagement in broader organizational systems and processes, in coordination with their counterparts and reports to the Director of Data & Insights.
The DOL is responsible for the implementation, facilitation and monitoring of effective Divisional planning, staffing and budgetary processes. In close collaboration with the CMDO, this role is also responsible for the design and coordination of M&DG Senior Leadership Team meeting schedule and agenda, optimization of the CMDO’s attendance in or to Departmental and Organizational meetings, requests and requirements. The DOL will facilitate effective CMDO and team engagement with external/global stakeholders, providing recommendations, facilitation of meeting requests, advance preparation of presentation and briefing materials, and coordination of relevant follow up activities or actions.

TASKS & RESPONSIBILITIES
LEADERSHIP
- Oversee the development and tracking of M&DG budget; effectively & efficiently managing the total M&DG marketing investment to ensure appropriate spending; including vendor and partner invoices related to the work of this role.
- Champion and lead M&DG efforts in High Performing Culture, serving on the High Performing Culture Committee and representing M&DG needs.
- Represent the M&DG Division (locally & globally), ensuring timely update of data and communication to key stakeholders across the organization.
- Advocate for and advance technical, data and systems improvements to accommodate growth, gain efficiency, and adapt to changing team needs and organizational opportunities.
- Participate in external forums and Global Task Forces/Projects, as requested by CMDO.
- Drive achievement of Divisional goals; monitoring and reporting on progress or variance explanations towards objectives.
- In partnership with Managers and Directors, provide logistical support in staffing and people-related items, including but not limited to recruitment, training, staffing changes, & life events.
- Assist in the development, implementation and maintenance of standard operating procedures.
- Ensure ongoing awareness of, adherence to, and cascading communications of ELT directives, expectations, and guidance to M&DG Directors.
- Will be responsible to act as a primary support to the department and other stakeholders in the event the CMDO role becomes vacant.
ADMINISTRATIVE
- Provide executive administrative assistance to the CMDO with a high degree of confidentiality and accuracy.
- Manage CMDO calendar, and reporting, responding, and prioritizing as appropriate.
- Manage domestic and international travel arrangements, expense tracking and reporting for CMDO.
- Pre-approver for all Director & Manager expenses within M&DG.
SUPPORT
- Assist the CMDO and Directors in identifying and attending to team and staff needs, promoting healthy engagement, spiritual and professional development, and support of them and their individual and team efforts.
- Coordinate the Office of the CMDO in achieving Divisional and Organizational goals through facilitation of effective and efficient divisional systems, operations, and planning.
- Work cross-functionally with all departments to identify, develop and execute process and procedure improvements.
- Work with the Directors to optimize and leverage efforts through alignment and/or integration of team efforts.
- Serve as Project Manager, as needed by the division, within special projects and campaigns as assigned by CMDO.

- Experience and awareness of best practices in the fields of Marketing and Digital Transformation.
- Impeccable organization, prioritization, and time management skills with an aptitude for numbers and statistical reporting methodology.

- Proven technical aptitude with strong complex problem-solving skills.
- Proficiency in Office 365; proficiency in Asana is an asset.
- Ability to work in a fast-paced environment with an aptitude to adapt and positively navigate change.
- Proven history of process improvement and project implementations.
- Ability to build relationships across a variety of stakeholder groups (internal and external).
WHAT YOU BRING MATTERS
EDUCATION & EXPERIENCE
- Post secondary degree, certificate, and/or professional designation in a related field, or equivalent professional experience is required.
- Extensive administrative and project management experience required.
- Minimum of two (2) years experience supporting and liaising with Senior Executives.
- Extensive team-leadership support experience is an asset.
