Role Description
The Proposal Coordinator is responsible for leading cross-functional teams in the delivery of competitive and high-quality proposals. This position requires a candidate who is highly organized, and detail oriented with strong experience coordinating multiple teams and priorities simultaneously. You will work closely with leadership, technical experts, and project managers to respond to request for proposals using best practices.
What You'll Do
This role includes, but is not limited to, the following responsibilities:
- Follow the established proposal process throughout the entire proposal lifecycle, acting as the proposal coordinator and central point of contact for all proposal teams.
- Interpret solicitation requests, including Requests for Proposal (RFP), Requests for Information (RFI) and Statement of Work (SOW).
- Lead the Go/No-Go assessment process and meetings for all solicitation requests.
- Guide discussions for kick-off, proposal strategy and/or review meetings.
- Coordinate and schedule internal proposal meetings and reviews.
- Create the draft proposal document using established templates, prepare proposal development schedules and milestones, follow up on assigned tasks, and ensure completion of deliverables.
- Write, and edit, and format non-technical proposal content.
- Complete compliance reviews and perform quality control on final proposal documents to ensure documents meet client requirements and internal quality standards.
- Coordinate the preparation and maintenance of boilerplate content, project descriptions and staff resumes for proposals.
- Lead internal debriefs to analyze successful and unsuccessful proposals; provide recommendations on corrective actions and continuous improvement opportunities.
- Monitor external client proposal management sites for opportunities.
- Administer tracking proposal metrics using Customer Relationship Management (CRM) application, including proposal data entry and maintenance throughout the opportunity life cycle.
Qualifications
- Bachelor’s Degree in Communications, Marketing, Environmental Science or related field, or equivalent experience.
- Minimum two years of experience in proposal coordination role within the environmental consulting industry.
- Experience in interpreting solicitation requests and procurement practices.
- Ability to manage multiple projects concurrently, working under pressure with strict deadlines, and flexible to changing priorities.
- Excellent writing, editing and proofreading skills with a high degree of attention to detail.
- Extensive experience working with Microsoft Office and Adobe Acrobat; expert skills in Word, Excel, and Adobe.
- Familiarity with CRM systems (Deltek VantagePoint/Vision, Salesforce).
- Demonstrated ability in using interpersonal skills and communication to develop relationships.
- Proven success in creating winning proposals.
