Purpose of the job
The incumbent of this position ensures accuracy and rigor in the daily monitoring of the management of leases and occupancy costs, taking into account the best interests of the company.
Key Responsibilities
- Oversee the daily administration and management of commercial lease agreements.
- Monitor and follow up on critical lease dates, including rent renewals, scheduled increases, option periods and kick outs.
- Maintain and update lease information in internal systems (Lucernex and Great Plains)
- Prepare and process rent payments, review and validate Year end invoices.
- Track receivables related to tenant incentives and construction allowances
- Submit monthly and annual certified sales reports to landlords in compliance with lease obligations.
- Conduct verification procedures for store openings and closures.
- Participate in the budgeting process.
- Liaise with insurance brokers to obtain and provide required lessor information for the issuance of insurance certificates.
- Open utility accounts for new locations.
- Collaborate closely with the Construction team to ensure coordination of store openings and timely receipt of lease-related incentives.
- Support the Director of Lease management on lease-related matters.
- Perform other related duties as assigned to support the real estate leasing functions.
- Manage and maintain relationships with landlords.
Your profile
- Organization and rigor: You ensure precise monitoring of leases, payments and schedules, while maintaining the accuracy of the data in the systems.
- Communication and collaboration: You maintain excellent relationships with owners and partners, and ensure smooth coordination with internal teams.
- Proficiency in tools: You are comfortable with property management software, as well as Great Plains, Excel and Outlook to manage information effectively.
- Autonomy and initiative: You manage your priorities proactively and actively contribute to the optimization of processes.
Requirements
- College diploma or equivalent;
- Minimum 3 years of experience in the field of Lease Management is required;
- Experience in retail (asset);
- Knowledge of accounting
- Be able to conduct several files at the same time
- Bilingualism in French and English, written and spoken (The person will have to interact with people across Canada and the United States;
- Proficiency in Microsoft software (World, Excel, Outlook), as well as mastery of a property management system (Lucernex – an asset);
- Attention to detail;
- Respect for deadlines and sense of organization;
- Autonomy and sense of urgency.
