Job Title: HR Talent Acquisition Representative II

Duration: Jun. 23/25 to Oct. 22/25

Hours: Monday – Friday, 40 hours

Pay Rate: $42.00/hour

Locations: Hybrid (In-office Mon, Tues, Thurs) – Calgary AB, T2P 3L8

SPECIFIC ACCOUNTABILITIES

Recruitment Support:

• Manage the TA Coordinator role of the recruitment process in Workday

• Update the Talent Acquisition Team Sharepoint site as requested.

• Update information on ELink as requested.

• Run reports in Workday on a regular basis for statistical reporting purposes for the TA leadership.

• Initiate and coordinate pre-employment background checks including medicals, criminal checks, drivers abstracts, etc.

• Process all medical checks, track and report on weekly candidates status’ with our providers to ensure new employees fulfill their conditions and can commence employment

• Create job postings on internal and external websites using Workday.

• Post to job boards manually as requested.

• Create newspaper advertisements as requested.

• Schedule interviews for internal and external candidates as requested.

• Book travel arrangements for external candidates as requested.

• Collaborate with candidates and other areas of Human Resources (i.e. Advisory Services, Benefits, Talent Management and Payroll) regarding the recruitment processes and issues that arise.

• Provide Recruitment/Relocation/Immigration administration support by sending the relocation initiation documents to HR Mobility.

• Verify and enter details for successful onboarding of candidates in Workday

• Troubleshoot issues with candidates through the recruitment process

Program Support:

• Career Fairs: Accountable for registering and coordinating fairs, ordering and managing all career fair inventory, including other stakeholders (inclusive of Public Relations and Diversity) for shared opportunities as required.

• New Grad and Student Programs: Provide end to end recruitment support as required.

• Cobra Testing: Provide assistance by coordinating and managing the Cobra testing for the Control Center Operations as required.

• Onboarding: track and send out rings to People Leaders to present to their new hires (regular full time employees)

• Individual Specific Accountabilities:

• Manage a tracking spreadsheet for all recruitment activity (BackChecks, Job Postings, Offers) to reflect status of stages of recruitment.

• Communicate with Accounts Payable regarding invoice processes and payments for all Talent Acquisition invoices (i.e.social media, job boards, journal postings, staffing agencies and medicals).

• Code invoices through Markview for various Talent Acquisition expenses to ensure payment to external vendors

• Provide ad hoc support to Talent Acquisition Advisors and Advisory Services as requested such as creation of spreadsheets, data tracking, prescreening, regrets and reference checks, uploading documents and pulling resumes

• Provide support for set up and sign up of training or facilitated sessions as required (booking venues, catering, preparing resource materials, presentation material preparation).

• Troubleshooting recruitment inquiries via phone and email including but not limited to:

○ Difficulties applying to positions

○ Status of job applications

○ Questions related to the Employee Referral Program

MUST HAVE

• Minimum 3 years related experience in an office environment.

• Demonstrated highly effective customer service skills required, including appropriate telephone and email etiquette, diplomacy, demonstrated bias for action/sense of urgency

• Ability to respond efficiently and effectively to routine customer service issues and to make sound decisions for determining the nature of the inquiry and need to escalate or not

• Strong attention to detail and a high degree of accuracy.

• Proficiency with MS Office suite (Microsoft Word, Outlook, PowerPoint, Excel, Access and Visio).

• Strong organizational skills and ability to handle multiple priorities in a fast-paced environment.

• Strong interpersonal and communication skills

• A high degree of professionalism, discretion, confidentiality and independence.

Nice to have

• Experience working in and with Workday and with customer relationship management (CRM) systems strongly preferred

• HR experienced is considered an asset.

• Working towards Registered Professional Recruiter Certification (RPR) is nice to have but not required
