About the role

We are currently recruiting an Executive Assistant to perform a range of financial and administrative responsibilities that require a high level of confidentiality, judgment and initiative. Key duties include drafting and distributing financial documents and communications, managing the annual planning and financial cycle calendar, maintaining data in the CRM database and coordinating committee meetings. In addition, the incumbent will provide administrative support to the Chief Financial Officer, including managing the schedule and logistics of meetings and liaising with internal and external stakeholders. Note, this is a contract role to September 2026.

Education and experience

  • A college degree in administration, office management or in a related discipline.
  • A minimum of three to four years of relevant experience.
  • Project management experience, an asset.
  • Experience working with CRM or other database, an asset.

Abilities/Qualities

  • Ability to work in a fast-paced environment with competing deadlines and demands.
  • Proficiency with use of MS suite including Excel and Word.
  • Ability to handle highly complex and confidential materials with discretion and tact.
  • Attention to details, accuracy and completeness.
  • Bilingualism essential including strong English writing skills.
  • Excellent organizational skills.

The position is based in Ottawa. Universities Canada has adopted a hybrid work model where employees are expected to work in the office a minimum of two days per week.

The hiring salary range for this position is from $58,452 depending on experience. Candidates who do not meet all of the position requirements may be considered in an underfill capacity, in which case the candidate would be hired at a lower level than the position level.
