What You Will Do
- Monitor incoming emails for yourself and your project manager(s).
- Assist reception with overflow by answering incoming calls, relaying messages, and accepting incoming jobs.
- Coordinate with project manager(s), insurers, building professionals, technicians and subtrades to ensure timely and efficient project execution.
- Assist with scheduling and organizing project activities to meet deadlines and client expectations.
- Serve as a main point of contact for clients, providing regular updates and addressing any concerns received.
- Maintain accurate project documentation, including physical files, scopes of work, estimates, invoices, and progress reports.
- Document project milestones and completion for invoicing and accurate reporting.
- Send work orders, as directed, to internal departments and external trades.
- Send requests for quotes to subtrades and compile received documents for PM to provide accurate estimates.
What You Have
- Knowledge of the restoration industry is an asset
- Administrative assistant experience
- General knowledge of the insurance industry
- Computer savvy and knowledgeable in Microsoft Office Suite
- Minimum typing speed of 50 WPM
- Ability to multitask and have great attention to detail
- Able to work in a high pressure environment
- Ability to work in sensitive solutions
- Strong communication skills
- Team player
