Summary of Position: The Parts & Inventory Assistant Manager supports the Parts Manager in overseeing inventory control and operational efficiency across both the New Car and Pre-Owned departments. This is a hands-on leadership role ideal for an experienced Parts Advisor ready to step into an operational and inventory-focused leadership position. The role requires collaboration with warehouse and advisory teams, overseeing daily warehouse tasks, reconciliation, compliance, and vendor systems.
Inventory Operations: Key responsibilities include reviewing and coding BMW statements, conducting cycle counts, auditing core inventory, maintaining bin locations, and assisting with departmental inventory projects. The Assistant Manager monitors BMW’s parts return portal, submits claims for shortages, overages, and damages, and ensures proper follow-up. They will also process parts returns to and from wholesale vendors, ensuring the accurate and timely issuance of credit notes. The Assistant Manager will assist with warehouse tasks during staff shortages as needed. Compliance duties include maintaining CANUTEC registration and holding a valid TDG certification.
Parts Operations**:**This role includes administrative duties such as reconciling the daily cash report, reviewing invoices, tracking fleet fuel usage, and maintaining a structured Excel log for all parts-related transactions. The Assistant Manager ensures that operational logs are audit-ready, up-to-date, and ready for review. You’ll contribute to revenue-producing ideas, identify concerns, and assist with auditing staff orders. Occasionally, this role will assist the revenue-producing team during shortages and support the coaching and mentoring of staff.
Candidate Requirements: Candidates must have a minimum of three years of experience as a Parts Advisor in a dealership or equivalent automotive environment. This role is ideal for professionals who have mastered front-line parts operations and are ready to take the next step into a leadership and coordination position. Successful candidates will demonstrate a strong working knowledge of parts inventory systems, vendor claims processes, and warehouse coordination. Previous exposure to overseeing daily warehouse activities or assisting in training junior staff is considered an asset. Candidates should have the ability to manage day-to-day parts operations and inventory accuracy, experience in submitting and tracking parts claims through OEM systems (with BMW systems preferred), and strong organizational and time management skills. Proficiency in Microsoft Excel is essential, particularly in utilizing formulas, filters, and structured data logs. Familiarity with Reynolds, and practical communication skills are required to work across warehouse, advisory, accounting, and management teams. A valid TDG certification is necessary before probation is due. Experience in maintaining regulatory compliance, including updates to CANUTEC, is a significant advantage. A post-secondary diploma or certificate in a related field is preferred but not mandatory. This position offers an excellent path for experienced Parts Advisors seeking to grow into operational leadership roles within a fast-paced dealership environment.
**Compensation:**The annual base salary for this role is $65,000. A monthly bonus is available based on the department’s gross profit performance. The total compensation package, including incentives, ranges from $65,000 to $77,000 annually.
Work Environment:
Our hours of operations are below. The hours and days of work are dependent on your role with a 40-hour workweek for full-time employment.
- 9:00 am to 7:00 pm Monday to Thursday
- 9:00 am to 6:00 pm Friday
- 9:00 am to 6:00 pm Saturday
- 12:00 pm to 5:00 pm Sunday & Statutory Holidays
