About the role
The Administrative Assistant formally reports to the Clinical Leader Manager (CLM) while providing day-to-day clinical and administrative support to a physician. The Administrative Assistant coordinates daily activities of the physician's office/clinic and ensures smooth functioning of the physician's practice, while providing a professional and caring patient experience.
DUTIES & RESPONSIBILITIES:
Some combination of the following based on the priorities of the practice:
- Scheduling patient appointments and managing operating room schedule to optimize efficiency
- Answering and making phone calls regarding appointments, patient inquiries and OR/clinic schedules.
- Preparing and distributing surgical documents and communicating with perioperative staff
- Registering patient visits
- Creating and maintaining an efficient filing system for active, pending and processed referrals and patient reports
- Maintaining an updated database of appointments, diagnoses and disposition decisions
- Accurate handling and reconciliation of OHIP billing
- Management of non-OHIP procedures and services, communication with WSIB and various insurance providers, and preparation of supplemental materials as required
- Liaising with other departments
- Other duties as assigned
QUALIFICATIONS:
- Graduate of a recognized Medical Administration program, or equivalent experience
- Successful completion of a Medical Terminology certificate
- Proficient computer skills with advanced knowledge of MS Word, Outlook, Excel.
- Excellent interpersonal and communication skills, with an ability to clarify priorities amongst CLM and physician
- Professional and consistent customer service skills
- Excellent organizational, time management, communication (verbal/written), interpersonal and problem-solving skills.
- Demonstrated ability to prioritize tasks and work independently in a demanding work environment.
- Must be able to maintain patient privacy and confidentiality
