Harvest Manitoba (“Harvest”) is a charitable organization dedicated to nourishing our communities and our sense of community so that no Manitoban goes hungry. We collect and share 13 million pounds of food every year, which is sorted and packed and distributed to Manitobans through our Community Food Network of more than 380 food banks and agencies in Winnipeg, rural, northern and First Nations communities. Right now, we feed 108,000 Manitobans every month, 49% are children. Our Food Distribution Centre, which includes our Community Support Centre and Warehouse, is in our Winnipeg headquarters.

Job Title: Client Services Associate

Job Type: Full Time,6 months Term (In Scope)

Report To: Clients Services Supervisor

Salary Scale: $20.23 - $20.73

Position Summary

As a key member of the Client Services Team, the Client Services Associate is responsible for supporting day-to-day client interactions and ensuring smooth access to Harvest’s services. This includes greeting and assisting clients in person, by phone, and via email in a respectful and timely manner. The associate conducts new client intakes, books appointments, and helps prepare food hampers for walk-in clients. The role includes accurate data entry, updating client records, and supporting the preparation of weekly and monthly reports. Associates help maintain organized client information, ensure confidentiality. Additional duties include supporting the reception area and call center, helping coordinate with food bank partners, and working collaboratively with volunteers and team members to meet daily operational needs. Flexibility and a team-first attitude are key, as the role may involve a variety of tasks depending on client volume and organizational needs.

Key Responsibilities

  • Provide respectful and efficient support to clients in-person, by phone, and via email; complete client intakes, schedule food bank appointments, and prepare food hampers for walk-in clients.
  • Accurately input and update client data from multiple sources; maintain organized records and support the preparation of weekly and monthly reports.
  • Communicate with internal teams and food bank coordinators to ensure consistent scheduling and up-to-date client information.
  • Support the reception area and call center by responding to inquiries, directing calls, and helping to create a welcoming environment; work with volunteers at reception and the call center to ensure operations run smoothly, including assisting with onboarding, training, and stepping in when needed.
  • Utilize client management software and digital tools to input, track, and analyze client interactions and service usage; ensure data integrity and support informed decision-making through accurate reporting and database management.
  • Ensure client information is handled with care, maintaining confidentiality and accuracy across all interactions and data systems.
  • Demonstrate flexibility by adapting to changing client needs and supporting various tasks or team members as required to meet daily operational demands.
  • Collaborate with volunteers during service delivery and participate in team meetings to support a positive and solutions-focused work environment.
  • Maintain cleanliness and organization in shared spaces and food storage areas; assist with additional tasks as needed to ensure smooth daily operations.

Qualifications & Experience

  • Two to five years’ experience in customer service
  • A university degree in a related field of study is considered an asset, though an equivalent combination of experience and education will be considered.
  • Strong computer literacy with current, hands-on experience using client relationship management (CRM) systems, data entry platforms, or case management software; ability to troubleshoot minor technical issues and support digital workflow processes.
  • Professional presence, with a positive attitude and self-starter, the ability to multi-task and prioritize workload
  • Proven ability to network with community resources, build relationships and gather resources to help support clients
  • Excellent written and verbal communication and interpersonal skills.
  • Proficiency with Microsoft Office software, including Word, Outlook, Excel, and PowerPoint.
  • Good time management skills, with the ability to multi-task, think critically, solve problem, identify priorities, and adapt as needed to address urgent operational needs.

About You:

  • A strong belief in the dignity of all human beings and a positive and caring approach.
  • Knowledge of food security, poverty, and related human rights and social justice issues is an asset.
  • Required to have a clear Criminal Background Check (CRC).
  • A valid Class 5 driver's license is required, and a reliable vehicle is strongly preferred.
  • Ability to work evenings and weekends on occasion to capture content from Harvest events and stories from offsite stakeholders in the community.

Evening and weekend shifts will be required as business levels dictate
