Customer & Vendor Services Coordinator (Part-time)
The Customer & Vendor Services Coordinator provides direct support to the Team Lead, Farmers’ Market by performing Market set up and maintenance and assisting with customer and vendor services duties at the Halifax Seaport Farmers Market. This position reports to the Team Lead, Farmers’ Market.
Accountabilities
Maintenance
- Carries out and performs day-to-day customer service and custodial duties to maintain the Halifax Farmers’ Market facility in a clean and safe operating condition.
- Sets up the Market floor for Market Day (s) and Events. Moves furniture and equipment as needed.
- Cleans all public areas of the Market, both interior and exterior, including washrooms as necessary.
- Performs related duties as follows: waste management and cleaning duties, recycling, minor repairs and common area lighting.
- Assists in snow removal operations by shoveling and clearing snow from the sidewalks and entrances.
- Moves furniture/boxes as required and performs light repairs and maintenance of Market assets**.**
Administrative/Record Keeping
- Administrative duties may include handling incoming calls and general email, document filing and organizing, accounting administration, data entry including table license agreements and waiver updating, document preparation, and occasional project coordination.
- Assists the Team Lead, Farmers’ Market on administrative and record keeping future as assigned. This may include; tracking vendor equipment and power usage.
Market Operations
- Ensures continuous cooperation with vendors, customers, management, and others. Mediate disputes between vendors.
- Ensures appropriate use of market assets, equipment, and spaces by vendors, customer, and others.
- Keeps the management and general membership informed on market issues and address customer complaints.
Other
- 3 days per week (i.e. 24 hours per week). Required to work at the Market on Friday, Saturdays & Sundays.
- Informs supervisor of defective equipment or needing repair.
- Adheres to all safety regulations/measures while performing job. Reports all accidents to supervisor.
- Wears protective clothing and equipment as required and ensures health and safety issues are addressed.
- Collects appropriate records: Maintenance Logs for fire extinguishers, door checks, and others.
- Assists with carrying out and performs day-to-day customer service and custodial duties to maintain the Halifax Farmers’ Market facility in a clean and safe operating condition.
- Assists with setting up the Market floor for Market Day(s) and Events. Moves furniture and equipment as needed. The ability to lift up to 50 lbs. will be required.
- Responsible to complete all tasks required at the Customer service desk, including but not limited to, vendor payments, Market update emails, vendor requests and customer engagements.
- Opens and closes the Market, as required.
- Complies and demonstrates knowledge of all HPA policies, procedures, Programs including the Occupational Health and Safety Policy and Environmental Management Policy
NOTE: These are only the basic and primary duties; related and allied duties may be assigned from time to time as may become necessary to the operation of the Farmers’ Market.
QUALIFICATION (EDUCATION AND EXPERIENCE)
- Minimum one (1) year of Strong customer service experience with a background in community development and hospitality management is preferred.
- Previous experience in a Farmers’ Market environment and entrepreneurship experience considered an asset.
- Working knowledge of SharePoint, Office 365 and other internet-based tools is required.
- Daily work prioritized, planned and carried out effectively. Demonstrates ability to be self-directed and self-motivated.
- Interacts and cooperates with others in a respectful and supportive manner to assist in accomplishing team objectives.
- Proven critical thinking, decision-making, problem solving and analytical skills.
- Solid organizational and project coordination skills, including communication, multitasking and time-management. and attention to detail
- Ability and knowledge to both advise on and perform responsible duties with speed and accuracy.
- Must possess good judgement and effective communication skills (oral & written) and tact when dealing with both internal and external stakeholders.
- Works well under pressure and maintaining composure and objectivity at all times.
- Maintenance and manual labor experience considered an asset
