Velocity Investment Partners |Sales Assistant How does the role impact the organization? As a Sales Assistant at Velocity Investment Partners, you will be an integral part of our high-performance team, ensuring our clients receive unparalleled, ‘Four Seasons-like’ service. You will have a support role with our six investment professionals by managing critical administrative and client-facing tasks with speed, accuracy, and professionalism. Your ability to anticipate needs, handle last-minute requests, and maintain meticulous organization will directly contribute to simplifying the lives of our discerning clients and driving the success of our practice.

What will your role be responsible for?

  • Deliver exceptional client experiences by responding to requests with clear, concise, and professional communication, mirroring the polish of a luxury concierge.
  • Manage multiple calendars, book flights, and schedule appointments, ensuring seamless coordination for our fast-paced team.
  • Greet clients in-person with a polished and professional demeanor, creating a welcoming and sophisticated environment.
  • Answer phones, take messages, and address client inquiries with confidence and tact.
  • Prepare for meetings by proactively assembling materials and anticipating the needs of our investment professionals, thinking five steps ahead.
  • Process some client paperwork, act as backup to manage account openings, and handle office correspondence with impeccable attention to detail.
  • Leverage Salesforce to track client interactions and opportunities, with prior knowledge being an asset.
  • Support the partner’s marketing initiatives, including saving our media consultant’s work for social media (LinkedIn, YouTube, Twitter), website content, and client events, to enhance our brand’s visibility.
  • Handle multiple deadlines and on-the-fly client requests in a high-volume environment, maintaining composure and accuracy under pressure.
  • Collaborate with tax professionals and clients during tax season to provide necessary documentation and updates.
  • Help bind, prepare client presentations, and support the team in growing our business through thank you letters, emails, welcome packages and onboarding tasks
  • Maintain confidential client files and perform general office duties with the utmost discretion.

What do we expect from you? To excel in this role, you should possess:

Knowledge of:

  • Administrative processes in a professional services environment, ideally financial services, luxury hospitality, or a similar high-end setting.
  • Fundamental wealth management concepts (e.g., RRSPs, TFSAs, account openings) is an asset and will be required as part of the ongoing role.
  • Social media platforms (LinkedIn, Twitter) and CRM software, with Salesforce experience being a strong advantage.
  • Knowledge of personal tax filing basics (T4 vs T3 vs T5) to assist during tax season is an asset.

Skills in:

  • Exceptional communication, using the right tone and words to convey clear, concise, and professional messages.
  • Organization and prioritization, managing multiple tasks and deadlines with meticulous attention to detail.
  • Microsoft Office, with a willingness and aptitude to learn new applications.
  • Customer service and problem-solving, delivering solutions with a positive and proactive attitude.

Ability to:

  • Thrive in a fast-paced, demanding environment, adapting to last-minute changes with flexibility and precision.
  • Work independently and collaboratively, contributing to our team’s ‘F1 pit crew’ dynamic.
  • Demonstrate advanced face-to-face, email, and telephone etiquette, reflecting our commitment to premium service.
  • Exercise tact and discretion in handling confidential information.
  • Communicate proficiently in French is an asset.

Educational/Previous Experience Requirements:

  • Post-secondary education in business administration, hospitality, or a related field is preferred.
  • 2–3+ years of experience in a high-end administrative or client-facing role, such as luxury hospitality, financial services, or a Family Office environment.
  • Licensing (e.g., Canadian Securities Course) is not required; candidates with relevant experience in a similar high-performance setting are welcome to apply.

Licenses/Certifications:

  • None required; willingness to pursue relevant courses for professional development is encouraged.

Salary Range: $50,000–$55,000 (based on education and experience) plus competitive performance bonuses/incentives.
