Job Description:

What will you work on?

The Administrative Assistant, Finance and Business Affairs role will support SME’s Finance, Legal and Business Affairs teams by performing support and administrative tasks. This is a fast-paced position that requires a diligent work ethic, the ability to juggle multiple tasks, strong memory and quick recall, attention to detail and an ability to independently exercise sound and reasonable judgment. The position is full-time in Toronto, Ontario and reports directly to the Vice President of Finance, Entertainment and the Head of Legal and Business Affairs, Entertainment.

How will you create impact?

  • Manage Calendars for the Vice President of Finance, Entertainment and the Head of Legal and Business Affairs, schedule meetings and calls, and ensure on-time attendance
  • Manage invoice flow for the department and the Production accounting team
  • Create Vendors, PRs POs for the Entertainment Departments as needed
  • Act as direct liaison with SME’s Production Coordinators and SME’s Executive Assistants
  • Perform clerical duties such as typing/printing/copying/scanning, managing team members’ vacation requests, maintain Outlook Contacts, admin correspondence, digital and paper file administration, and assist with report presentation building in excel or PowerPoint
  • Prepare production greenlight paperwork for approval
  • Arrange and book conferences, travel, accommodations and submit expense reports
  • Coordinate with IT for service requests and troubleshooting
  • Coordinating weekly cheque mailings and pick up from external production accounting firm
  • Filing and maintenance of production accountant binders as necessary

What are your skills and experience?

  • Post-secondary education (diploma, certificate, undergraduate degree)
  • Direct administrative and support experience in a fast-paced environment
  • Highly proficient with MS Office (Word, Excel, PowerPoint, and Outlook)
  • Some knowledge of the Canadian and global entertainment industry, including television and/or film is a benefit, but not a necessity
  • Familiarity with SAP (including Fiori and Concur), BOX and ContractWorks is an asset, but not a necessity
