At UBC, we believe that attracting and sustaining a diverse workforce is key to the successful pursuit of excellence in research, innovation, and learning for all faculty, staff and students. Our commitment to employment equity helps achieve inclusion and fairness, brings rich diversity to UBC as a workplace, and creates the necessary conditions for a rewarding career.

Job Summary

The Pacific Rim Initiative for Sustainable Marine Systems (PRISMS), a newly funded UBC Grants for Catalyzing Research Clusters (GCRC) initiative, seeks a dynamic and motivated Cluster Research Coordinator. This interdisciplinary research network brings together scholars from engineering, ocean science, ecology, Indigenous studies, and public policy to catalyze sustainable solutions for Canada’s maritime and coastal challenges. The successful candidate will manage diverse cluster activities and partnerships, contribute in the development of large-scale research proposals, and facilitate events and knowledge exchange.

Organizational Status

The Cluster Research Coordinator reports to the Cluster Lead (Professor Rajeev Jaiman) and works closely with the cluster’s co-leads and collaborators across UBC and partner institutions.

Work Performed

The successful candidate will offer broad support to the key cluster members of the Cluster, both in terms of setting and building consensus around strategy, developing and implementing operational plan. The principal requirements of the role are:

Research Strategy

  • Implement the PRISMS research vision and strategic plan across the cluster’s three themes (technology, ecology, policy).
  • Create cluster strategic plans; engaging stakeholders (researchers, industry, faculties) including creating timelines, proposed budgets and deliverables.
  • Responsible for planning and managing all PRISMS-related activities, including internal meetings, monthly seminar series (ICONS@APSC or Ocean@UBC), and annual public engagement events.
  • Facilitate communication and collaboration among thematic leads (engineering, ocean ecology, policy) and partner institutions.
  • Prepare summary reports from stakeholder workshops and support the drafting of the UBC Ocean Strategic Vision document.
  • Ensure adherence to UBC’s principles of equity, diversity, and Indigenous engagement in all cluster activities.

Communications and Relationships

  • Lead internal communications across the University, engaging with faculty members, departments, and other research clusters.
  • Responsible for theme development, partnership outreach, and research collaboration building to align cluster-related events with strategic objectives both internal and external.
  • Develop knowledge mobilization efforts, including scientific communications, social media, and strategic storytelling.
  • Manage the full lifecycle of grant submissions, from drafting proposals and building budgets and timelines to compiling supporting documents like CVs.
  • Build cluster relationship with external partners and foster these relationships into potential funding streams.
  • Represent the cluster in engagements with major research and policy institutions (e.g. Tri-Agency, Provincial Government, CFI IF, Digital Alliance, etc).

Budget Responsibility

  • Develop cluster budgets in collaboration with cluster leads, and prepare financial reports as needed.
  • Prepare and deliver financial reports as needed to the cluster leadership and stakeholders.
  • Oversees financial activities to ensure alignment with budgets, funding guidelines, and strategic priorities.
  • Oversee grant spending and maintain accurate financial records.
  • Ensure compliance with university policies and funding agency requirements.
  • Lead year-end financial reporting and support fiscal closeout processes.

Consequence of Error/Judgement

This position requires strong professional judgement, initiative, and accountability. Errors in communication, coordination, or reporting could negatively impact the cluster's visibility, funding prospects, and stakeholder trust. Mismanagement of timelines or failure to adhere to UBC's ethical, Indigenous, and EDI protocols may harm institutional relationships or compromise external engagements. The Coordinator must represent PRISMS with professionalism and uphold high standards of academic integrity, confidentiality, and cultural respect in all cluster-related activities.

Supervision Received

The coordinator will work independently with general guidance from the Cluster co-Leads. The co-Leads will provide strategic direction, support on priorities, and oversight for key deliverables including grant proposals, reports, and public events. Regular check-ins and milestone reviews will ensure alignment and progress.

Supervision Given
May provide guidance to student assistants or trainees involved in PRISMS operations. This may include coordinating logistical tasks, assigning event roles, or reviewing communication drafts and cluster content.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or an equivalent combination of education and experience.

  • Willingness to respect diverse perspectives, including perspectives in conflict with one’s own

  • Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion

Preferred Qualifications

Undergraduate degree (or higher) in applied science/engineering discipline.

  • Demonstrated experience in research project coordination, academic writing, and stakeholder engagement.
  • Excellent organizational, communication, and interpersonal skills across disciplinary boundaries.
  • Familiarity with Indigenous research protocols and community-based research practices is a strong asset.
  • Experience with grant preparation, event planning, and digital platforms (SharePoint, WordPress, etc.) is desirable.
  • Ability to work independently and manage multiple priorities in a fast-paced interdisciplinary environment.
