What the job involves
- At Wealthsimple, we offer 4 to 8-month internships that are open to co-op and non-co-op students, and recent grads

- Our internship program follows a hybrid work model, where you’ll be working from our Toronto headquarters on Wednesdays and Thursdays

- By focusing on building and redefining Workplace Ops programs, we aim to cultivate employee engagement, productivity, & high morale through thoughtful delivery and execution of our programming
- As a Workplace Ops Intern, you will manage front desk operations and coordinate facilities requests & services as part of the Workplace ops team
- You will be supporting interfacing with employees, guests & clients visiting the office, providing them with support in navigating our facilities
- You will also coordinate a range of daily operational tasks - including supporting coordination of maintenance repairs, liaising with on-site 3rd party vendors and carrying out administrative tasks that support the optimal running of the workplace
- Helping manage daily in-office operations and providing general support to the broader team — including answering employee questions, helping with seat booking requests, sorting mail, and distributing access passes
- Monitoring and responding to same-day requests through our workplace management tools (e.g., Eden) and internal communication channels
- Greeting guests visiting the office and supporting client needs by triaging requests to the appropriate teams
- Assisting with coordination and communication with on-site vendors (food service, cleaning, repairs), and supporting collaboration with building management for base building issues
- Supporting admin tasks tied to workplace programs — including coworking, travel, and team offsites
- Helping sort incoming mail and deliveries, supporting internal distribution, and arranging outbound mail and couriers
- Helping oversee facility requests end to end — including tracking maintenance tickets for things like lockers, heating/cooling, lights out, leaks, and more
- Assisting in scheduling repairs and maintenance based on incoming requests
- Coordinating general and seasonal maintenance with vendors, helping track preventative maintenance, and supporting ad hoc facilities projects
- Assisting with the daily food service program — updating lunch counts, monitoring fluctuations, tracking feedback, and making recommendations for adjustments
- Helping monitor office occupancy and aligning services (like lunch, pantry, coffee, and cleaning) based on in-office attendance
- Supporting co-working logistics across our two Canadian hub cities — including employee pass management and room bookings
- Supporting the execution of in person & remote programming, including company-wide events, team building on-sites & community building activities
- Supporting the end to end experience of employees in-person experience - from travel, to desk booking, room booking & ordering related office supplies
- Coordinating the operations of in-person events with external guests. Including booking additional security, providing door & elevator access, coordinating vendors
