We are seeking a highly organized, customer-focused, and proactive Service Coordinator - Dispatcher to join our busy team. In this pivotal role, you will be the central communication and coordination hub for our service operations. You'll ensure our valued customers receive prompt, exceptional service by efficiently dispatching technicians, meticulously managing schedules, and providing clear, consistent communication throughout the service process. This role requires someone with strong interpersonal skills, a keen eye for detail, and the ability to thrive in a fast-paced, dynamic environment.
Key Responsibilities
- Efficiently dispatch plumbing and HVAC technicians to service calls, optimizing routes, technician availability, and job urgency.
- Proactively manage and optimize technician schedules, ensuring timely arrivals and efficient use of resources.
- Serve as a primary point of contact for customers, providing timely updates on service calls, answering inquiries, and resolving scheduling conflicts with professionalism and courtesy.
- Maintain accurate and detailed records of all service calls, technician activities, customer interactions, and resolutions within our systems.
- Prioritize emergency calls and adapt quickly to unexpected changes or urgent requests, re-routing technicians as needed.
- Collaborate closely with technicians, customer service, and management to ensure seamless communication and operational flow.
- Utilize dispatching, CRM, and other company software effectively to manage all aspects of service coordination.
- Handle incoming calls and emails, addressing customer needs and directing queries appropriately.
Qualifications
- Exceptional Organizational Skills: Proven ability to manage multiple tasks, prioritize effectively, and maintain meticulous records in a fast-paced environment.
- Strong Customer Service Acumen: Demonstrated ability to interact with customers in a friendly, empathetic, and professional manner, ensuring positive experiences.
- Knowledge of Calgary: A strong understanding of Calgary's geography, routes, and traffic patterns is essential for efficient dispatching and route planning.
- Excellent Communication Skills: Superior verbal and written communication abilities, with a talent for clear and concise messaging.
- Problem-Solving Skills: Ability to think quickly, troubleshoot issues, and make sound decisions under pressure.
- Tech-Savvy: Comfortable and proficient using dispatching software, CRM systems, and other computer applications.
- Ability to work both independently and as a collaborative team member.
- High school diploma or equivalent.
Assets
- Background in Service Plumbing and/or HVAC: Previous experience in the industry, particularly in a service, administrative, or dispatching role, would be a significant asset. This includes a basic understanding of industry terminology and common service issues.
- Previous service coordination or dispatching experience in a similar service industry.
