POSITION SUMMARY:
The Shipping Assistant plays a crucial role in supporting and managing the efficient flow of goods into and out of our facility. This position is responsible for handling incoming and outgoing shipments paperwork, ensuring our goods arrive to and from customers accurately, motors are packed according to internal quality standards, maintaining a safe and organized work environment, and ensuring accurate record-keeping. Additionally, this role ensures that all shipments are handled efficiently, accurately, and in compliance with company policies and safety standards.
Job Responsibilities:
Shipping Assistant:
- Generate and print shipping labels and other required shipping documents (i.e. packing slips, commercial invoices, bills of lading) using relevant software and systems.
- Scan required documents to the appropriate folders and e-mails.
- Schedule and coordinate deliveries or pick-ups with shipping carriers (i.e.: UPS, FedEx, freight companies etc.) to ensure timely dispatch.
- Verify and document the condition of outgoing shipments to prevent damage and loss.
- Verify orders to ensure correct products, quantities and packaging are being shipped.
- Identify and promptly resolve shipping-related problems or delays to minimize disruptions.
- Collaborate with internal teams to coordinate shipments and address any shipping-related issues or inquires.
Shipping and Receiving Support:
- Build pallets using hand tools and power tools when necessary.
- Prepare orders for shipment by ensuring orders are accurately packed, and prepared for shipment in accordance with company specifications and standards
- Receive and inspect incoming shipments for accuracy, damage, and completeness.
- Report any discrepancies, damaged goods, or missing items to the supervisor for further action.
- Ensure the accuracy of items received by matching them with the corresponding purchase orders and packing slips.
- Ensure received goods are accurately recorded into the management system.
- Distribute received goods to the appropriate departments in a timely manner
- Operate forklifts, pallet jacks, or other equipment as needed (if certified).
- Keep the shipping and receiving area clean and organized.
Quality Assurance:
- Ensure proper packaging of items to prevent damage during transit.
- Arrange products on pallets and on skids for shipment using the appropriate packaging materials and methods.
Health and Safety Compliance:
- Ensure compliance with health and safety regulations in all operational activities.
- Maintain a clean, organized, and safe work environment by performing basic housekeeping duties including sweeping, organizing, and disposing or packing materials.
Other:
- Perform general housekeeping duties
- Perform other related duties as assigned
Qualifications:
- A minimum of 3 years’ experience in warehouse shipping and receiving operations.
- High school diploma or equivalent.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
- Experience with shipping software or systems is an asset.
- Experience operating forklifts, overhead cranes and pallet jack.
- Ability to effectively use hand tools and power tools.
- Skilled in building wooden pallets and crates
- Ability to read and interpret measurements using a tape measure.
- Basic math skills or order verification and inventory counting.
- Strong attention to detail and organizational skills.
- Able to work in a fast-paced environment.
- Excellent verbal communication skills to effectively coordinate with team members and other departments.
- Ability to lift up-to 30 lbs., move heavy objects and carry loads on a repetitive basis.
- Required to stand, walk, bend and reach for long periods of time.
- Capable or working independently and collaboratively as part of a team.
