CUPE is encouraging applications for a temporary bilingual Health and Safety Assistant primarily assigned to work at the CUPE National Office located in Ottawa, Ontario. This assignment will commence immediately and is expected to continue until August 8, 2025, with a possibility of extension. Under general direction, the Health and Safety Assistant supports the Health and Safety Officers, providing administrative support for the general functioning of the branch and providing research support related to Health and Safety matters.

SUMMARY OF DUTIES

Applicants should have a very good knowledge of general office work and be able to perform with accuracy and minimum supervision, the following duties, among others:

  • Under the general direction of, and in close collaboration with the Health and Safety Officers, assist in developing, updating, and editing of health and safety materials. Maintain and distribute resource documents and training materials as required.
  • Assist in the preparation of presentations and workshops for various projects.
  • Assist in the organization, planning and coordination of conferences, staff and national committee meetings; prepare material and documentation; attend staff meetings, take and prepare minutes in both official languages; write, proofread, and process to completion, reports or drafts; and ensure appropriate follow-up, as required.
  • Coordinate and establish priorities of the work assigned to the administrative staff in a timely manner.
  • Collect related information from various sources and distribute as required; request and obtain information from labour organizations, government, research centres, etc.; provide information to labour and other organizations as required.
  • Assist in the distribution of surveys and analysis of results.
  • Assist in conducting research assignments.
  • Initiate and prepare to completion documents, correspondence, forms, texts and reports as required.
  • Maintain updated records, files and lists of health and safety workshops, library materials, correspondence, materials inventories and budget documents, as required.
  • Keep apprised of new developments in the industry.
  • Perform other related duties, as assigned.

QUALIFICATIONS

  • Five years related work experience, ideally in a union environment;
  • Business or Community College graduate in a relevant field or an equivalent combination of education and experience;

General knowledge of:

  • administrative policies and procedures;
  • CUPE political and organization structure;
  • Internet research techniques;
  • databases and data management;
  • specific subject matter requirements such as: qualitative and quantitative data analysis; knowledge and understanding of health, safety and environment technical materials and legislation;
  • research sources and methodologies.

Ability to:

  • speak and write at an above average level in English and French;
  • communicate effectively in a respectful and cooperative manner with the public, all staff, members, contractors, etc.;perform basic mathematical functions;
  • work with minimal supervision;
  • maintain confidentiality;
  • meet deadlines and/or establish priorities while working in a high pressure work setting;
  • work with a high degree of accuracy;
  • exemplify good organizational skills;
  • solve problems, identify and correct discrepancies, and follow guidelines, where applicable;
  • use advanced MS Office Suite and, where required, statistical, database or HR management applications, and learn new software.

CONDITIONS OF EMPLOYMENT as set out in the collective agreement between CUPE and COPE Local 491.

WEEKLY SALARY : $1,681.88 (plus 7% bilingual bonus)
