About the role

Seeking: Commercial Property Administrator

Medallion is looking for a self-starter, detail-oriented Commercial Property Administrator to join our Commercial office portfolio and Retail team. This role is a Full-time position, reporting to the General Manager and supporting 5 sites across the GTA. The Property Administrator will be responsible for various duties including administrative property accounting, accounts receivable reporting, rent roll review, and tenant communication.

Responsibilities:

Set-up, enter and maintain all new Leases, Lease Amending Agreement, Assignments, etc. in Yardi. Including, but not limited to rent step-ups, additional rents, recurring monthly after-hours charges if applicable, Lease obligated parking charges, deposit application if applicable, etc.

Ensure all fully executed Lease Documents and Agreements are uploaded to Yardi

Update and maintain Lease Status Reposts for all Office buildings (7) and distribute to senior management monthly.

Responsible for the collection of Tenant receivables, monitor and analyze Tenant accounts in Yardi Ledger and prepare reconciliations.

Verify, enter and process all rent due, adjustments, charge-back billings and miscellaneous charges

Review and verify monthly Pre-Authorized Debit reports ensuring accuracy prior to automatic posting.

Manage all aspects of accounts receivable, including all cheque deposits, set-up of Pre-Authorized Debits, process One-Time PAD payments as required, EFT payments and ensure accurate application of payments to charges within Tenants’ accounts.

Responsible for uploading all Additional Rent Rates to Tenants’ accounts prior to beginning of fiscal year, generating and formatting all Rental Advice Notices and account reconciliations and sending out to accordingly to Tenants.

Responsible for entering all year-end adjustment charges, creating invoices, reconciling accounts, creating and sending out complete Tenant Y/E Package.As well as reviewing inquiries from Tenants regarding year-end adjustments and provide a first point of contact response to resolve outstanding items to clear accounts. Escalate to Accounting or General Manager as appropriate with consideration for Lease obligations.

Review and prepare documentation to reimburse Tenant Allowances after construction.

Create and present to senior management monthly AR Reports for portfolio providing detailed status of accounts and AR commentary.

Manage the administration of Tenant Parking ensuring database is accurate and up to date, review Lease Agreements to determine Lease obligation and update recurring monthly billings and Rental Advice Notices as required when changes are made to parking assignments by Tenants.

Preparation of the monthly A/R report. Presentation of same to upper management.

Responsible for administration of 20 Telecom Agreements, including but not limited to all Lease and Renewal set-up in Yardi, account reconciliations, billings, accounts receivables.

Maintain and update Telecom Lease Status Report, including the tracking of annual hydro charges, rent increases and Lease obligations as it relates to Hydro.

Responsible for administration and accounts receivable of 2 commercial parking agreements.

Processing TI allowances for upper management approval.

Anything else as assigned by the General Manager from time to time.

Qualifications & Skills:

At least 5-7 years’ experience in a Property Administrator role, preferably Commercial.

Deep Computer experience with Yardi (Voyager) and Microsoft Excel.

Post-secondary education or experience equivalence, preferably in accounting.

  • Thorough understanding of Additional Rent, utility, and commercial billing standards.
  • Understanding of Commercial Lease concepts and standards.

Resourceful, strong work ethic, and attention to detail. Organized and adaptable.
