Position Summary
As the Operations Coordinator, Showband, you will have the opportunity to be a part of a passionate and purpose-driven team that develops youth as world-class artists, performers, and community minded citizens.
Reporting to the Manager, Showband, the Operations Coordinator, Showband will work with program staff & faculty, members (and families), volunteers, and community partners to lead the Event Operations and Experiences, Member and Personnel Management, and Marketing and Promotions for the Calgary Stampede Showband and Stampede Showriders.
Responsibilities
Responsibilities of this role include, but are not limited to:
Event Operations and Experiences
- Lead the operational planning, coordination, and execution of all year-round activities, including rehearsals, performances, travel, and training events in support of the program’s objectives.
- Capture, share, and execute on a vision for CSF hosted shows and competitions, delivering events that support program goals, showcase the brand, and foster community spirit.
- Facilitate the successful execution of major events, collaborating with internal and external partners to lead the planning of Stampede-Time activities, as well as International Tours.
- Collaborate with volunteers in the execution of program operations, attending meetings, sharing information, and fostering a positive, appreciative, and purpose-driven team environment.
Member and Personnel Management
- Develop and implement internal communication strategies and processes, supporting exceptional experiences and creating the environment for successful program activities year-round.
- Create and facilitate the complete personnel management system, including registrations, data collection, forms and fee processes, contracts, attendance, distribution, assets, and scheduling.
- Support youth safety and wellness through clear communication of policies, planning training activities, developing compliance tracking systems, and collaborating on policy documentation.
- Provide support and guidance to Manager, Showband, Creative and Ensemble Directors, committees, contractors, and seasonal employees, ensuring the team has the information and materials needed to engage as part of the full program team.
- Act as a public and positive ambassador for the Calgary Stampede and Stampede Foundation within the Calgary community and abroad.
Marketing and Promotions
- Support the development of all external communications, marketing, promotional, and recruiting materials in collaboration with volunteers, Showband Manager and the Calgary Stampede marketing department.
- Support the summer student recruiting team in developing and delivering effective and engaging recruiting strategies, materials, and presentations.
- Implement strategies and content for website, social media, and other various platforms to build participation, engagement, and awareness in the community and achieve strategic objectives.
- Support the communication of key program messages, acting as a public and positive ambassador for the programs and the Calgary Stampede Foundation within the community.
- Other duties as required.
Qualifications
The ideal candidate will be proactive, optimistic and have worked in a dynamic, fast-paced environment where they have experience delivering on multiple priorities and will hold the following qualifications:
- Event planning, operations, and administration experience (3-5 years).
- Advanced knowledge of the MS Office Suite including MS Word, Excel, Power Point, Publisher, Outlook and Google Suite and technical troubleshooting skills.
- Experience with various communication and data management platforms and applications.
- Excellent communication and interpersonal skills, with a high level of comfort when speaking to members, staff, volunteers, and partners.
- An undergraduate degree in arts, business, or communications is considered an asset.
- Experience working with youth is considered an asset.
- Knowledge and experience of the performing and marching arts is considered an asset.
Working Conditions
- This is a full-time role based in Calgary, with some domestic and international travel requirements to performance competitions, conferences, conventions, and tours.
- Office, rehearsal, and performance spaces including Stampede Park and offsite locations within the Calgary community, outside city limits, and occasional international travel requirements.
- Repetitive movements, occasional lifting, occasional exposure to dust and animal dander, exposure to a variety of weather conditions.
