Position Overview : We are seeking a highly organized and motivated Sales Coordinator to support our growing Sales team. This role plays a key part in ensuring smooth operations across the sales cycle—from lead generation support to proposal coordination and CRM management. The ideal candidate is detail-oriented, communicative, and thrives in a fast-paced environment.

Key Responsibilities :

  • Assist with the coordination and tracking of sales leads, opportunities, and proposals.
  • Manage and maintain the company’s CRM system, ensuring data accuracy and timely updates.
  • Support the preparation of proposal documents, presentations, and sales materials.
  • Assist in responding to RFIs and RFPs by gathering content, formatting, and managing deadlines.
  • Schedule and coordinate meetings, calls, and follow-ups between internal teams and clients.
  • Compile client-facing documents and assist in contract and document tracking.
  • Provide administrative support to the Sales team including report generation and pipeline tracking.
  • Monitor inbound inquiries and direct them to appropriate team members.
  • Collaborate with the Marketing team to support outreach campaigns and sales collateral.
  • Track project bid deadlines and ensure timely submissions.
  • Help maintain a library of up-to-date sales resources and templates.
  • Liaise between Director of Sales, Account Managers, Engineers, and Designers to ensure that all required documentation is organized and distributed accordingly.
  • Occasionally attend client meetings to assist with coordination of projects and support the Director of Sales and Account Managers.
  • Attend conferences and events to promote Geosource and educate clientele on the benefits of geothermal and the general operations of Geosource.

Qualifications :

  • Diploma in Business Administration, or a related field.
  • 2–3 years of experience in a sales support or coordination role (preferably in construction, engineering, or renewable energy sectors).
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (especially Word, PowerPoint, and Excel); experience with CRM systems is a strong asset.
  • Ability to work independently while collaborating with cross-functional teams.
  • Detail-oriented with a proactive and solutions-focused mindset.
  • Familiarity with B2B sales processes and technical proposal development is an asset.
  • Ability to learn and adapt to new software.
